What are the responsibilities and job description for the Investigations Assistant - FOC position at Ingham County?
Under the supervision of the Supervisor of Investigations serves as administrative support for the Investigation section. Schedules conferences with assigned Investigator/Facilitator. Prepares and distributes appointment letters, proof of mailings, and court orders to appropriate persons. Performs a variety of support tasks, such as opening and distributing incoming mail, answering telephone calls, preparing mailings, and typing various documents.
- Assigns and schedules conferences to Investigators/Facilitators on a rotation basis.
- Enters data into Michigan Child Support Enforcement System and Microsoft Excel regarding the status of each conference, including the date of the conference, the date the Investigator completes the report, and the date the reports are processed and mailed.
- Prepares and mails Notice of Hearings to parties and attorneys. Mails court orders to parties and attorneys and prepares a proof of service. Sends notices of fee slips with proof of service to Court.
- Processes Investigator’s Reports and Recommendations by photocopying the reports, filing the reports with the Circuit Court Clerk’s Office and mailing to the parties and attorneys. Once mailed, complete a proper proof of mailing.
- Responds to inquiries by
telephone and in person, by email and postal mail, and provides information on Friend of the Court policies and procedures to clients, attorneys, court personnel, and others, and directs people to the proper individual or office. - Proofreads and makes spelling and grammar edits to Investigator’s Reports and Recommendations.
- Compiles, maintains, and reports investigation statistics for the unit in compliance with the State Court Administrator’s Office (SCAO) requirements.
- Uploads and indexes documents, such as Appointment Letters, Proofs of Mailing and Conference Cancellations via OnBase by using docket numbers and FOC Indexing Catalog Codes.
- Uses word processing to prepare correspondence, orders and other legal documents.
- Uses technology such as OnBase, Courtview, MICSES, ZOOM or One Form to assist clients, attorneys and Investigators.
- Adheres to strict OCS/IRS Confidentiality rules.
- Performs a variety of other support tasks for the division, including typing miscellaneous documents, making copies, preparing mailings, sending faxes, and related tasks.
- Completes various training as required by Ingham County/Circuit Court/FOC, as well as the Office of Child Support.
- Serves as back-up to other FOC clerical staff, as needed.
Other Functions:

Education: High school graduate or equivalent, with some advanced coursework related to
data entry and data processing.
Experience: Six months of experience including word processing, preferably in a court or related legal setting providing familiarity with data processing systems similar to that used in the office.
