Overview
Under the direction of the Office Manager, the Customer Service Specialist is responsible for providing exceptional service and support to customers while maintaining a positive and professional attitude. This role requires strong communication skills, attention to detail, and a proactive mindset. You will interact directly with customers, sales representatives, and internal departments to ensure seamless order processing and customer satisfaction. Comprehensive training will be provided to set you up for success.
Responsibilities
- Answer phone calls, emails, and online chats promptly and professionally, ensuring a positive customer experience.
- Document all customer interactions in the CRM system, including inquiries, feedback, returns, and contact updates.
- Enter and process customer sales orders accurately, including product details, quantities, accessories, pricing, and shipping instructions.
- Generate and manage Return Merchandise Authorizations (RMAs), capturing all necessary information for tracking and resolution.
- Create and maintain customer accounts in the CRM system, ensuring data accuracy and completeness.
- Collaborate with the inside sales team to share customer insights, transfer calls appropriately, and support follow-up on pending orders, repairs, and product inquiries.
- Assist with local pick-ups and drop-offs, confirming received or released items with detailed documentation (serial numbers, models, etc.).
- Maintain professional phone and email etiquette at all times.
- Support general office and operational tasks, including shipping, receiving, and light equipment cleaning when needed.
- Perform additional duties as assigned by management.
Qualifications
- High school diploma or GED required; college degree preferred.
- Minimum one (1) year of customer service experience.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Strong written and verbal communication skills.
- Excellent attention to detail and organizational skills.
- Ability to multitask effectively in a fast-paced environment.
- Positive attitude, team-oriented, and adaptable.
- Experience with CRM systems preferred.
