The Virtual Personal Assistant will provide high-level administrative and operational support to senior executives and researchers. The role involves managing calendars, handling communications, coordinating projects, assisting with research documentation, and ensuring smooth day-to-day workflow across the organization.ResponsibilitiesManage and maintain executives’ calendars, appointments, and travel arrangements.Coordinate internal and external meetings, prepare agendas, and take meeting notes.Handle correspondence (emails, calls, and messages) professionally and promptly.Assist with document preparation, editing, formatting, and data entry for research reports, proposals, and presentations.Conduct background research on energy industry topics, funding opportunities, and policy developments as needed.Support project coordination—track deadlines, deliverables, and project milestones.Maintain organized digital filing systems (Google Drive, SharePoint, etc.).Liaise with clients, partners, and research collaborators when required.Help prepare expense reports, invoices, and budgets.Ensure confidentiality and discretion at all times.QualificationsProven experience as a Virtual Assistant, Executive Assistant, or Administrative Coordinator.Strong organizational and time-management skills; able to multitask effectively.Excellent written and verbal communication skills in English.High proficiency with productivity tools (Google Workspace, Microsoft 365, Slack, Zoom, Notion, Asana, or similar).Basic understanding of the energy sector or research environments is an advantage.Self-motivated, detail-oriented, and able to work independently with minimal supervision.
