Patient Care Coordinator - Wellness & Medication Program
Infinity MedSpa & Wellness | Charlotte, NC
Infinity MedSpa & Wellness is seeking a highly organized, detail-oriented, and patient-focused Patient Care Coordinator to support our Wellness Director, Dr. Lara Aboulhosn, and our growing medical weight loss and wellness program. This position serves as the primary administrative support for Dr. Lara's patients and is responsible for ensuring a seamless patient experience from enrollment through ongoing medication management.
Schedule:
Part-Time
- Monday, Wednesday, Thursday & Friday
- 9:00 AM – 5:00 PM on M/W/TH, 9:00 AM - 12:00PM on Fridays.
- Approximately 27 hours per week
Responsibilities:
Patient Communication & Support
- Answer incoming phone calls, emails, and text messages related to the wellness program
- Respond to patient questions regarding medication refills, appointments, and general program information
- Provide exceptional customer service while maintaining patient confidentiality and professionalism
- Coordinate communication between patients and providers when needed
Medication Management & Coordination:
- Contact patients when medications arrive and are ready for pickup
- Coordinate medication pickup appointments and patient follow-up
- Process and collect payments for medications and wellness services
- Verify patient information and maintain accurate records
- Monitor medication inventory and communicate low-stock concerns to management
Administrative Duties:
- Check in/out patients picking up medications
- Complete required internal documentation and tracking
- Update Slack channels and internal logs when medications are received and picked up
- Maintain accurate patient records within Zenoti and other internal systems
- Assist with scheduling and appointment coordination as needed
- Support daily clinic operations and administrative projects
Qualifications:
- Previous administrative, front desk, medical office, or customer service experience preferred
- Strong communication and interpersonal skills
- Excellent attention to detail and organizational abilities
- Comfortable managing multiple tasks in a fast-paced environment
- Ability to maintain confidentiality and professionalism
- Experience with Zenoti, EMR systems, or medical office software is a plus
- Experience in aesthetics, wellness, weight loss, or healthcare settings is preferred
