Accounting Assistant - Accounts Payable

The Accounting Assistant is fully accountable for all duties assigned by the Accounting Manager. The purpose of the Accounting Assistant is to assist the Accounting Manager in the daily operations of business accounting.

Duties and Responsibilities

• Answer, screen and transfer inbound phone calls
• Establish and maintain effective working relationships with managers and other personnel
• Perform general clerical duties including photocopying, faxing, scanning, filing
• Collect and coordinate ingoing and outgoing mail and distribute to the appropriate individuals
• Prepare and modify documents including confidential correspondence, reports, and emails as needed
• Complete all functions of the accounts payable process
• Cut payroll checks by property twice a month
• Complete and submit credit applications for property accounts
• Enter, post and reconcile petty cash
• Enter and post auto mortgages
• Order office supplies
• Enter new vendor information in Yardi and obtain insurance and W9 information
• 1099 preparation and submission annually
• Prepare landlord agreements, update utility accounts and assist managers as needed with this process
• Accurately record and transfer data from one source to another and perform mathematical calculations
• Process checks for payment of outstanding bills
• Understand and apply available guidelines to varied operational requirements and follow clearly all oral and written instructions
• All other duties as assigned

Qualifications & Requirements

• High School diploma or equivalent required; college degree or 2 years accounting experience preferred
• Ability to speak in a clear, concise, well-modulated voice
• Ability to establish and maintain effective working relationships with managers and other personnel
• Proficient in MS Office
