We are seeking a highly organized, client-facing Office Manager to oversee daily operations and lead the administrative and front-of-house team at our high-volume Southampton location.

Key Responsibilities
Operational Leadership
- Oversee daily operations of a busy medical longevity center
- Manage and lead front desk/client concierge staff and support medical professionals
- Own scheduling operations for providers and treatments
- Ensure smooth coordination between longevity services and functional medicine practice
- Maintain operational efficiency, workflow systems, and accountability
Administrative Oversight
- Manage payroll processing
- Oversee inventory management and supply ordering
- Maintain compliance and professional standards within a healthcare setting
- Monitor KPIs related to client flow and operational performance
Client Experience & Brand Stewardship
- Deliver and enforce a luxury, concierge-style client experience
- Ensure all client interactions (calls, texts, emails, in-person) are handled professionally and promptly
- Address escalated client concerns with poise and discretion
- Maintain a polished, welcoming, and high-end clinical environment
Qualifications
- 3 years of office management or operations leadership experience
- Prior experience in healthcare, medical aesthetics, wellness, or concierge hospitality strongly preferred
- Proven experience managing teams in a client-facing environment
- Exceptional communication skills and phone presence
- Tech-savvy and comfortable with scheduling systems and operational software
- Highly organized with strong multitasking ability
