AOX Coordinator

Role: All-on-X(AOX) Coordinator

Purpose:
Support the AOX manager by controlling communication flow, owning pricing and quote accuracy, tracking case movement and case count, coordinating internal handoffs, routing issues correctly, and making sure nothing gets dropped between offices, marketing, admin, scheduling, technical, and production.

Core responsibilities:

• Take calls, texts, emails, and office communication
• Know the full AOX pricing structure
• Build and send accurate quotes
• Route technical questions and technical problems to the correct technical person
• Route scheduling requests and scheduling problems to the correct scheduling person
• Hand off work needing action to the correct team or department
• Track case count, workflow, production status, delays, and next steps
• Follow up on missing records, missing approvals, missing notes, and pending action items
• Coordinate with marketing team on new clients, warm opportunities, inactive offices, and at-risk offices
• Recognize patterns such as repeated delays, repeated remake issues, poor record submission, price resistance, or communication drop-off and flag them early
• Keep the AOX manager informed without making them chase details
• Keep ownership, notes, communication, and next-step clarity tight

What this role is not:

• Not the AOX manager
• Not the final technical decision-maker
• Not the final scheduling authority
• Not a clinical consultant
• This person routes technical and clinical questions; they do not give clinical advice, solve clinical issues, or act like the technician/doctor.

What success looks like:

• Offices get fast, accurate, clear communication
• Pricing is explained correctly and quotes are correct
• Technical issues go to the right technical person quickly
• Scheduling issues go to the right scheduling person quickly
• Needed work gets handed off fast and clean
• Case count and workflow are visible and trackable
• At-risk offices are identified before they fully disengage
• The manager gets fewer interruptions and fewer dropped details
• The department feels controlled, responsive, and organized

Ideal candidate profile:
Highly organized, quick-thinking, high EQ, polished communicator, calm under pressure, detail-accurate, strong at follow-up, strong at triage, able to zoom out and zoom in, comfortable with direct leadership, resilient, system-driven, and able to handle many moving parts without becoming sloppy or emotional.
