Duties

  • Greet visitors, clients, and staff with professionalism and enthusiasm, creating a welcoming atmosphere
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and maintain accurate records for office operations and client information
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including proofreading documents, preparing correspondence, and managing incoming/outgoing mail
  • Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times

Qualifications

  • Proven experience in office administration or as a receptionist with strong clerical skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry systems
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Strong typing skills and attention to detail for proofreading and document preparation
  • Experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are preferred to serve diverse client needs effectively
  • Previous experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant or administrative experience will also be considered
  • Knowledge of bookkeeping software such as QuickBooks or similar is advantageous
  • Demonstrated time management skills with the ability to prioritize tasks efficiently
