We're looking for an Admissions Coordinator who understands that the moment a family reaches out to us is the moment their experience begins.
About This Role
You'll be the first consistent point of contact for families exploring Indie's group enrichment program — and for learners beginning therapy services. You'll own our enrollment pipeline from inquiry to first day, coordinating tours, managing follow-up, and guiding new learners through intake. You'll work closely with our learner experience and therapy teams, and you'll be the person who makes sure no family falls through the cracks.
What You'll Do
- Manage the full enrollment pipeline for group enrichment — from first inquiry through tour, registration, and onboarding
- Schedule and confirm tours, lead timely follow-up for families who haven't booked or didn't show, and maintain consistent communication throughout
- Coordinate intake and onboarding for new therapy learners — managing documentation, scheduling, and handoff
- Keep our admissions system accurate and current — families, learners, tour records, and pipeline status
- Serve as a warm, informed presence for families navigating what is often a high-stakes, emotional decision
- Serve as a liason and family-centered advocate for funding sources and resources such as ESA and DDD
- Identify patterns and gaps in the funnel and surface them to leadership — you'll be working alongside a team that takes data seriously
What We're Looking For
- 2-4 years of experience in admissions, enrollment coordination, intake or family-facing resource coordinatioin
- Strong organizational skills and follow-through — you don't let things slip, and you build systems that prevent it
- Comfort with CRM or database tools
- A communication style that is clear, warm, and consistent — especially with families who may be stressed, overwhelmed, or new to navigating services and resources for their child
- Alignment with our values — we don't use deficit language, compliance-based frameworks, or a "fix the child" approach. We need someone who fully aligns with this approach.
Nice to have
- Experience in private school or pediatric clinic settings
- Familiarity with DDD, ESA, or insurance-based service authorization processes
- Bilingual (English/Spanish)
