Role Overview
In this role you will provide a wide range of clerical and administrative support to the Indiana Women, Infants, & Children (WIC) Program. Duties include providing support to the WIC Director, Assistant Director, and Management Team, scheduling meetings, coordinating meeting spaces, sending division-wide emails, supporting clinic staff onboarding requests, division employee onboarding, and supply management. The ideal candidate has excellent customer service and organization skills, proficiency in MS Office, and a commitment to demonstrating compassion and kindness.
A Day in the Life:
Provides advanced administrative support to the WIC Division through the following activities:
- Answers front door and serves as a resource for onsite visitors.
- Complete scheduling requests for Director, Assistant Director, and Management team.
- Completes required onboarding and orientation activities for new hires.
- Maintains supply inventory and procurement of office supplies as needed.
- Manages incoming and outgoing mail, including general email inbox and fax requests.
- Creates and distributes contact lists, maps, quarterly newsletters, formal letters and other pieces of program communication.
- Manages building requests and coordinates with IDOH Administrative Services.
- Routinely reviews organizational processes and functions of role to recommend changes to promote effectiveness.
- Prepares, evaluates, and maintains administrative reports, including agendas, meeting minutes.

What You'll Need for Success:
The ideal candidate in this role should minimally have 3 years of experience in administrative support or customer service.
This is a contract position employed through CAI. Day-to-day work is managed by Indiana Department of Health - WIC Division. Contract roles are reassessed annually.
