General Statement of Duties :
The Facility Scheduler is responsible for contacting vendors to ensure that they are aware of surgical cases needing their support. The Facility Scheduler also assists with scheduling surgical and procedure appointments per Physician schedules and direction. The position books, coordinates, and reschedules appointments working within set parameters of the OrthoIndy Hospital Department and communicates with necessary staff as needed. The position helps with daily maintenance and annual review of the physician preference cards.
Essential Duties:
- Communicates and coordinates surgery case dates and times to vendors regarding scheduled cases. Communicates and coordinates with the operating room, Sterile Processing Department, and vendors regarding same day add-ons or changes in operating room schedule. Updates EMR when vendors are notified.
- Maintains communication with necessary staff in relation to the coordination of surgical and procedure appointments and updates. Maintains notification to all departments of add-ons, changes, and cancellations. Tracks patient bed openings to facilitate patient placement post procedure.
- Books, coordinates, and reschedules surgical and procedure appointments per physician schedules and direction and per block release parameters. Utilizes tools, resources, techniques, and systems to organize tasks. Takes call after hours for scheduling related requests as needed.
- Responsible for checking to ensure that all equipment requested is available for use in the operating room prior to booking a procedure.
- Maintains and updates current information of physician’s surgery schedules. Responsible for comparing physician schedules to ensure a match to the EMR operating room scheduler.
- Types surgical procedure per physician order on all patient consents and forwards to preoperative area in anticipation of patient arrival for procedure.
- Responds to telephone and screen calls, takes messages, and provides information related to surgical appointments. Updates administrative call schedule.
- Answers staff questions regarding surgical and procedure appointment, specifically regarding physician’s operating room schedules.
- Maintains list of vendors and updates as needed.
- Maintains call schedules for all departments.
Requirements:
- High School Diploma or GED required; specialty training beyond high school preferred
- 1-2 years of related experience required, 2-4 years of experience preferred
