Indiana Nephrology & Internal Medicine is seeking a dependable, organized, and customer-focused Part-Time Administrative Assistant to support our Chief Operating Officer (COO). This position is ideal for an individual who enjoys working in a fast-paced healthcare environment and possesses excellent communication, organizational, and computer skills.
Essential Duties and Responsibilities
- Provide high-level administrative support to the COO and assigned leadership staff
- Prepare and draft correspondence, reports, memos, invoices, and other documents
- Prepare, scan, file, and maintain electronic and paper documents.
- Coordinate and manage calendars, meetings, schedules travel, and appointments
- Schedules and attend meetings as needed; take detailed notes and prepare meeting minutes
- Retrieve and compile information from records, emails, minutes, and reports; prepare summaries as requested
- Maintain office records, order supplies, and assist with basic bookkeeping tasks
- Support day-to-day office operations and perform additional duties as assigned by leadership.
- Answer and direct incoming telephone calls in a professional manner.
- Greet visitors and provide exceptional customer service.
- Ensure confidentiality of all company and employee information.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Minimum of one year of administrative or office experience; healthcare experience preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines.
- Professional demeanor with strong customer service skills.
- Ability to work independently and as part of a team.
