POSITION OVERVIEW
The Administrative Assistant – Our Ways provides day-to-day administrative and clerical support to the Our Ways Department while creating a warm, inviting environment for students, families, staff, and guests. This role supports cultural programming, event logistics, departmental communication, and daily office operations. The ideal candidate is organized, approachable, detail-oriented, and excited to contribute to a department that centers American Indian culture, language, traditions, and the Seven Sacred Gifts.
KEY RESPONSIBILITIES
Administrative Support
- Serve as a welcoming presence for students, staff, families, and guests visiting the Our Ways office.
- Provide clerical and organizational support, including maintaining digital files, inventories, and departmental records.
- Schedule meetings and events, coordinate technology needs, reserve spaces, and prepare agendas and minutes.
- Draft and prepare departmental communications, flyers, calendars, and internal/external correspondence.
- Coordinate travel arrangements for staff and guests.
- Support field trip processes, including permission slip coordination and information tracking.
- Perform assigned school duties (bus, hallway, breakfast, recess, lunch, etc.).
- Follow all State Laws regarding mandatory reporting.
- Complete additional tasks to support departmental operations as needed.
Cultural Support
- Serve as host for Our Ways guests, ensuring a respectful and welcoming experience.
- Assist with planning and logistics for cultural programs—including camps, powwow, round dance, community nights, and other events.
- Partner with Communications & Marketing to submit event details and support the creation of flyers and promotional materials.
- Maintain permissions, photographs, and videos from events in accordance with ICS expectations.
- Participate in cultural learning by integrating American Indian culture, language, traditions, and the Seven Sacred Gifts into daily work.
- Work closely with the Our Ways team and other school departments to support cultural programming and schoolwide initiatives.
- Engage with community partners to support event needs, resource identification, and culturally aligned programming.
- Uphold professionalism, confidentiality, and a high level of customer service in all interactions.
QUALIFICATIONS:
- Three (3) years of experience in administrative and staff support preferred.
- Strong written and verbal communication skills.
- Proficiency with Google Suite (Docs, Sheets, Slides).
- Ability to manage documents, reports, spreadsheets, and basic administrative tasks.
- High attention to detail and confidentiality.
- Knowledge of Native language and woodland culture preferred.

Pay: $18.25 - $24.00 per hour
