We are seeking a dynamic and highly organized Medical Practice Manager to lead the daily operations of a busy Ob/Gyn practice. The Independence Women's Clinic has been in operation for over 60 years and provides care for thousands of women annually. Our staffing includes 6 physicians, a midwife and a nurse practitioner. This pivotal role combines strategic oversight with hands-on management, ensuring that clinical, administrative, and financial functions run smoothly and efficiently. Duties
- Oversee all aspects of clinic operations, including patient flow, scheduling, and staff coordination to optimize efficiency and patient satisfaction
- Manage fiscal responsibilities such as budgeting, financial management, billing processes, and expense control using systems like Eaglesoft, Dentrix, or eClinicalWorks
- Supervise medical administrative support staff, nurses, and other team members to ensure high-quality service delivery and adherence to HIPAA regulations
- Coordinate with medical providers on clinical workflows, EMR (Electronic Medical Records) systems implementation, and compliance with JCAHO standards
- Monitor medical records accuracy, maintain confidentiality per HIPAA guidelines, and ensure proper documentation using EHR (Electronic Health Record) systems like Epic or eClinicalWorks
- Handle human resources functions including hiring, training, performance evaluations, and staff development in a healthcare setting
- Oversee clinic compliance with healthcare regulations such as managed care policies, utilization management protocols, and hospital or dental clinic standards
Requirements
- Proven experience in medical office management or healthcare management with a strong background in clinic operations
- Demonstrated supervisory experience leading multidisciplinary teams within a medical practice environment
- Proficiency with EMR/EHR systems such as Eaglesoft, Dentrix, Epic or eClinicalWorks; familiarity with hospital or acute care settings is a plus
- Strong knowledge of medical terminology, medical records management, HIPAA compliance, and healthcare regulations including JCAHO standards
- Expertise in fiscal management including budgeting, financial analysis, billing procedures, and managed care processes
- Experience with office management tasks such as human resources functions, staffing schedules, and administrative workflows
- Excellent organizational skills combined with the ability to multitask effectively in a fast-paced environment
- Background in dental office experience or veterinary practice is advantageous but not required; critical care or hospital experience is also valued
