What are the responsibilities and job description for the Senior Case Manager position at Incipio Law?
About Incipio Law
We're a tech-centric personal injury firm built for the next generation of legal services. We sign clients across the country and run a modern intake and pre-litigation operation focused on getting clients the outcomes they deserve. We're multi-state and growing fast. Illinois is one of our highest-priority expansion markets.
This isn't a legacy firm. No paper files, no faxed records, no 1990s workflows. We're building the firm we'd want to be a client of: fast, transparent, and ruthlessly focused on outcomes.
The Role
We're hiring a Senior Case Manager to own pre-litigation for our Illinois caseload, from the moment a client signs through demand and resolution of the pre-lit phase. You are the operational owner of Incipio's Illinois pre-lit surface area. You make sure every signed client is treated with care, their case is properly built from day one, and every file moves through pre-lit with the speed and quality our clients deserve.
This is a senior role with real ownership. You're the person we trust to scale Illinois without breaking quality.
What You'll Do
- Own pre-litigation case management for all Illinois clients from sign-up through demand and resolution
- Serve as the primary client contact throughout pre-lit: updates, documentation requests, expectation-setting, trust-building
- Open claims with carriers, secure police reports, and lead medical records collection
- Coordinate clients' medical care and track treatment progression
- Identify and proactively resolve lien and subrogation issues
- Build complete, well-organized case files and prepare demand packages with medical summaries, billing summaries, liability documentation, and supporting evidence
- Communicate with insurance carriers throughout pre-lit and support settlement negotiations
- Track intake-to-resolution conversion, identify drop-off points, and partner with intake and ops to close them
- Help build the Illinois playbook (workflows, SOPs, QA standards) as we scale
What Success Looks Like
- Illinois clients have a great experience from intake through resolution
- Cases move efficiently through each stage of pre-lit with minimal stagnation
- Demand packages are thorough, well-organized, and maximize case value
- Settlements meet expected value targets relative to policy limits
- Intake-to-resolution conversion improves quarter over quarter
- You catch problems early (in client treatment, in claims handling, in our own workflows) and fix them before they cost cases
Qualifications
Required
- 4 years of personal injury pre-litigation experience, with Illinois exposure strongly preferred
- Deep familiarity with the full pre-lit case lifecycle: claims initiation, records, treatment coordination, demand prep, settlement negotiation
- Comfortable as the primary client-facing contact in a high-volume environment
- Strong written and verbal communication
- Highly organized, detail-oriented, self-directed
- Modern case management software experience (Filevine, Litify, SmartAdvocate, or similar)
Nice to Have
- Paralegal certificate
- Experience at a fast-growing firm
- Comfort operating with founders in undefined territory
Who Thrives Here
- You like environments where the playbook is still being written, and you get to write it
- You take ownership without being asked
- You care about doing things well, not just doing things
- You want to build, not maintain
Compensation
$80,000 to $120,000 base, plus performance bonus. Competitive base plus performance bonus tied to Illinois outcomes. Health, dental, vision, 401(k). Fully remote (within US).
Salary : $80,000 - $120,000
