Position Summary
As our Medical Biller, you will play a vital role in the financial operations of the practice. You will ensure accurate and timely patient billing, insurance claim submissions, and payment posting. Working closely with front‑office staff, clinical teams, and insurance carriers, you will resolve billing issues and help secure optimal reimbursement while maintaining full compliance.
Key Responsibilities
- Review and process daily billing for reproductive services, including but not limited to IVF, IUI, laboratory tests, and surgical procedures
- Submit electronic and paper insurance claims accurately and on time
- Review EOBs (Explanation of Benefits) , identify denials or underpayments, and follow up promptly
- Respond to insurance carriers and patients regarding billing questions, balances, and payment plans
- Accurately post insurance and patient payments, adjustments, and refunds
- Stay current on payer policies, reproductive procedure coding, and pre‑authorization requirements
- Collaborate with clinical and administrative staff to resolve documentation or coding discrepancies
- Monitor aging reports and follow up on outstanding accounts receivable to minimize write‑offs
- Prepare patient statements and assist with cost estimates and financial counseling when needed
- Comply with HIPAA regulations, billing guidelines, and all clinic policies and procedures
- Participate in audits, training sessions, and team meetings
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent; Associate degree or certificate in Medical Billing/Coding preferred
- Minimum 2 years of medical billing experience, with reproductive health or women’s health background strongly preferred
- Proficient in ICD‑10, CPT, and HCPCS coding
- Familiarity with fertility‑specific billing processes and payer requirements is a significant plus
- Experience with medical billing software (e.g., eIVF, Nextech, Athena) preferred
- Solid understanding of commercial insurance, authorization workflows, and patient financial responsibility
- Knowledge of fertility benefit programs (e.g., Progyny, Maven, Carrot, WINFertility) is a plus
- Excellent attention to detail, organizational skills, and ability to work independently
- Strong written and verbal communication skills
- Proficient in Microsoft Office (Word, Excel, Outlook) and EMR/billing systems
- Typing speed of 45 wpm or higher
