Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Operate multi-line phone systems with professionalism, providing accurate information or directing calls appropriately
- Manage appointment scheduling and calendar coordination for staff and departments
- Handle incoming correspondence, emails, and inquiries with clarity and efficiency
- Maintain organized filing systems, data entry records, and office supplies inventory
- Support office management tasks such as proofreading documents, managing office logistics.
- Provide exceptional customer support by addressing questions or concerns courteously and efficiently
- Complete clerical duties including typing reports, proofreading materials, checking in samples and managing document workflows
- Utilize computer skills across Microsoft Office (Word, Excel, Outlook, TEAMS) and Google Workspace to produce professional documents and presentations
- Ensure phone etiquette standards are upheld during all interactions to promote a positive office environment
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Proficiency in computer literacy including Microsoft Office, Google Workspace, data entry, and filing systems
- Experience with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to support diverse client needs
