We are seeking a highly organized, professional, and customer-focused Service Writer / Office Manager. This individual serves as the first point of contact for customers and plays a critical role in managing daily office operations, coordinating service appointments, creating repair estimates, communicating with customers, and ensuring an exceptional customer experience from start to finish.

Essential Duties and Responsibilities
Customer Service & Reception
- Greet customers in person, by phone, and via email in a professional and friendly manner.
- Schedule service appointments and maintain shop calendars.
- Answer incoming calls and direct inquiries appropriately.
- Provide updates to customers regarding repair status, parts availability, and estimated completion dates.
- Handle customer concerns and assist in resolving issues promptly and professionally.
Service Writing
- Open, manage, and close repair orders.
- Prepare service estimates and invoices.
- Communicate technician findings and repair recommendations to customers.
- Coordinate workflow between customers, technicians, and management.
- Ensure accurate documentation of labor, parts, and services performed.
- Process customer approvals for repairs and additional work.
Office Management
- Maintain organized customer and service records.
- Manage filing systems and office documentation.
- Assist with accounts receivable and accounts payable functions.
- Process payments and maintain accurate financial records.
- Order office supplies and assist with inventory management.
- Support management with administrative tasks and reporting.
Parts & Service Coordination
- Assist in ordering and receiving parts.
- Track special-order parts and customer deposits.
- Coordinate technician schedules and shop workload.
- Monitor work order progress to help ensure timely completion.
Marketing & Administrative Support
- Assist with social media updates and customer communications.
- Help coordinate boat shows, events, and promotional activities.
- Maintain customer databases and follow-up programs.
- Support company growth initiatives and customer retention efforts.
Qualifications
- Previous customer service, receptionist, service writing, or office management experience preferred.
- Marine, automotive, powersports, RV, or service industry experience is a plus.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office, Google Workspace, and business management software.
- Ability to multitask and prioritize effectively.
- Strong organizational skills and attention to detail.

Physical Requirements
