This role is responsible for supporting intake operations, ensuring exceptional customer service, coaching team members, monitoring performance metrics, and maintaining accurate documentation within Salesforce.

Primary Responsibilities
- Support the Manager of Client Services in the daily oversight of the Client Services team.
- Provide day-to-day guidance, coaching, and support to Client Service Representatives.
- Monitor team productivity, quality, and adherence to established KPIs and service standards.
- Assist with client intake from initial inquiry through admission into services.
- Review and perform insurance eligibility and benefit verifications with a high degree of accuracy.
- Serve as the first point of escalation for complex client concerns and operational issues.
- Ensure Salesforce records are complete, accurate, and maintained according to company documentation standards.
- Audit client notes, tasks, and workflows for quality and compliance.
- Coordinate with Clinical, Care Coordinators, Scheduling, and Revenue Cycle teams to ensure seamless client transitions.
- Identify process improvement opportunities and recommend workflow enhancements.
- Assist with onboarding and training new Client Services team members.
- Reinforce standard operating procedures and best practices.
- Assist the Manager of Client Services with reporting, dashboards, and performance metrics.
- Maintain HIPAA compliance and confidentiality of all client information.
- Bachelor's degree required.
- Minimum of 5 years of experience in client services, healthcare intake, patient access, or customer service leadership.
- Previous leadership, supervisory, or team lead experience preferred.
- Demonstrated proficiency with Salesforce CRM.
- Experience performing insurance eligibility and benefit verification.
- Strong understanding of healthcare intake workflows.
- Excellent verbal and written communication skills.
- Exceptional organizational and time-management abilities.
- Proven problem-solving and critical-thinking skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and documentation accuracy.
- Experience in ABA therapy, behavioral health, pediatrics, or healthcare.
- Bilingual (English/Spanish) strongly preferred.
- Experience with insurance authorizations and Medicaid/commercial payer processes.
