InAlliance is a nonprofit organization that supports adults with developmental disabilities, and we are looking for an administrative rock star to provide excellent reception and clerical support to the teams in our office.
Responsibilities
- Prioritize and complete general clerical duties as requested by program managers in a timely fashion
- Answering telephones, routing calls, taking messages, greeting and announcing visitors
- Copying, scanning, and faxing
- Ensuring all office equipment is maintained
- Ordering, organizing, and distributing office supplies
- Maintenance of and training on all telephone and voice mail systems
- Update/distribute staff telephone and extension lists
- Routing and preparing mail
- Keep the front office clean and picked up
- Facilitate Safety Drills as per CARF standards
- Preparation and distribution of Annual Packets
- Closing the office at the end of the day
- Other duties as assigned
Qualifications
- High School Diploma or equivalent
- Minimum of one (1) year of professional experience in an administrative support capacity
- Ability to type 40 wpm
- Knowledge of Microsoft Office Suite including Outlook, PowerPoint, Excel, and Word
- Excellent organizational and written communication skills
- Ability to maintain a harmonious working relationship with internal and external customer
- Ability to make independent judgments, organize workload efficiently, and maintain several assignments simultaneously
- Employee submit to a criminal record clearance
- Employee must have a valid CA Driver License and a clean driving record (within InAlliance's guidelines) from the Department of Motor Vehicles
