Executive Administrator to CEO

Compensation: $140,000–$150,000

Location: Bronx, NY

Reports To: CEO


Position Overview

We are seeking a highly skilled, confident, and exceptionally organized Executive Administrator to serve as a strategic partner to a dynamic CEO. This role is far more than traditional executive support—it requires someone who can provide structure, accountability, and proactive leadership support in a fast-paced environment.

The ideal candidate will be an experienced Executive Administrator with strong project management capabilities, excellent judgment, advanced technology skills, and the confidence to professionally challenge ideas when necessary. This individual will serve as both a trusted advisor and operational quarterback, helping drive priorities to completion while managing a blend of professional and personal responsibilities.


Key Responsibilities

Executive Support (Approximately 60%)

  • Manage complex calendars, scheduling, and executive priorities
  • Coordinate meetings, travel, and executive logistics
  • Draft, manage, and respond to business correspondence
  • Prepare reports, presentations, and executive summaries
  • Track key initiatives and ensure deadlines are met
  • Follow up with managers and stakeholders to secure timely deliverables
  • Hold team members accountable for commitments and due dates
  • Serve as a gatekeeper and strategic partner to the CEO
  • Anticipate needs, identify gaps, and proactively offer solutions and recommendations
  • Support project management initiatives across the organization
  • Manage client, vendor, and stakeholder communications as needed

Personal Support (Approximately 40%)

  • Manage personal scheduling and appointments
  • Handle personal correspondence and requests
  • Coordinate personal projects and administrative matters
  • Assist with miscellaneous personal tasks requiring discretion and confidentiality


Ideal Candidate Profile

Required Qualifications

  • 7 years of Executive Assistant, Executive Administrator, or Chief of Staff-level support experience
  • Strong project management experience with a proven ability to drive initiatives to completion
  • Advanced proficiency with modern technology platforms and productivity tools
  • Experience utilizing AI tools such as Claude, ChatGPT, and other emerging technologies
  • Exceptional written and verbal communication skills
  • Demonstrated ability to maintain strict confidentiality
  • Strong organizational and prioritization skills
  • Ability to prepare executive reports, presentations, and summaries
