Position Summary
The Director of Finance & Administration is a strategic and collaborative senior leader responsible for the financial integrity, administrative operations, and long-term fiscal sustainability of In Our Own Voices. Reporting directly to the Chief Executive Officer, this position provides executive leadership over all financial operations while serving as a trusted advisor to the CEO, Board of Directors, leadership team, auditors, funders, and community partners.
This role oversees budgeting, accounting, grants management, compliance, financial reporting, internal controls, risk management, payroll oversight, cash flow, audits, and organizational financial planning. The Director of Finance & Administration also supervises the Fiscal Director and Assistant Bookkeeper while strengthening financial systems that support a growing, multi-million-dollar nonprofit organization.
The ideal candidate is both a strategic thinker and hands-on leader who understands nonprofit financial management, federal and state grant compliance, and the importance of equitable fiscal stewardship in advancing community impact.
Essential Responsibilities
Strategic Financial Leadership
- Serve as a member of the Executive Leadership Team, providing strategic financial guidance to the CEO and Board of Directors.
- Develop long-range financial strategies that support organizational growth, sustainability, and mission impact.
- Prepare financial forecasts, cash flow analyses, and organizational financial models.
- Present monthly, quarterly, and annual financial reports to executive leadership and the Board.
- Identify financial risks and recommend proactive solutions.
Financial Management
- Oversee all accounting functions including general ledger, accounts payable, accounts receivable, payroll oversight, reconciliations, and financial reporting.
- Ensure timely and accurate monthly and year-end closings.
- Monitor organizational cash flow and liquidity.
- Maintain strong internal controls and financial policies.
- Ensure compliance with GAAP and nonprofit accounting standards.
Grant & Contract Management
- Oversee financial administration of federal, state, county, foundation, and private grants.
- Monitor grant expenditures to ensure compliance with funder requirements.
- Collaborate with program leadership to develop grant budgets and financial reports.
- Ensure timely reimbursement requests, contract reporting, and fiscal monitoring.
- Support grant development by providing financial data and organizational budgets.
Budget Development
- Lead the annual organizational budgeting process.
- Work collaboratively with department directors to develop program budgets.
- Monitor budget performance and recommend adjustments throughout the fiscal year.
- Develop financial scenarios that support organizational decision-making.
Audit & Compliance
- Lead annual financial audits and IRS Form 990 preparation.
- Coordinate with external auditors, accountants, and regulatory agencies.
- Ensure compliance with federal, state, and local financial regulations.
- Maintain organizational insurance and financial risk management practices.
Administrative Leadership
- Strengthen administrative systems and organizational efficiencies.
- Develop financial policies and operational procedures.
- Support contract management, procurement, and vendor relationships.
- Collaborate across departments to improve organizational effectiveness.
Staff Leadership
- Supervise, mentor, and develop finance staff.
- Foster a collaborative, inclusive, and accountable work environment.
- Build financial literacy across departments by supporting managers in understanding budgets and financial reports.
Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or related field required.
- CPA, MBA, or Master's degree preferred.
- Minimum of 7 years of progressive financial leadership experience.
- Minimum of 3 years supervising finance or accounting staff.
- Experience managing nonprofit finances and government-funded grants strongly preferred.
- Knowledge of GAAP, nonprofit accounting, Uniform Guidance, and federal grant compliance.
- Experience managing multi-million-dollar organizational budgets.
- Strong financial analysis, budgeting, and forecasting skills.
- Excellent communication and presentation skills.
- Advanced proficiency with accounting software and Microsoft Excel.
