Job Summary
The Project Coordinator serves as the central administrative hub for our construction project teams. The primary goal of this role is to centralize and execute routine administrative, logistical, and financial support tasks to maximize project efficiency. You will bridge the gap between the field and the office, ensuring all permits, documentation, and cost-tracking data are accurate, organized, and up to date.
Duties and Responsibilities
Site Logistics & Permitting
- Secure and manage city, county, and state construction permits.
- Coordinate permanent and temporary utility connections for the job site.
- Manage site logistics requests, including utility locates, dumpster swaps, hydrant meter permits, and uniformed police officers.
- Serve as the main point of contact for logistics vendors and municipal inspectors.
Documentation & Construction Systems
- Maintain and update the project management software (HCSS and Viewpoint Spectrum).
- Process, track, and distribute Requests for Information (RFIs) and submittals.
- Organize and archive project documents, including drawings, specifications, and daily field logs.
- Distribute revised blueprints and addenda to field staff and subcontractors.
Cost Tracking & Financial Support
- Track daily force account paperwork, extra work orders, and field timecards.
- Verify field ticket quantities against vendor invoices and delivery receipts.
- Assist management in preparing monthly subcontract pay estimates and progress billings.
- Coordinate with Accounting to ensure all subcontractor and vendor invoices align with contract terms and progress.
- Monitor project cost codes to ensure accurate budget tracking.
