As the Preconstruction Marketing Coordinator, you’ll help Imperial Construction win new work by coordinating the entire pursuit process—from opportunity identification through proposal and bid submission.Working closely with Marketing, Preconstruction, Business Development, Operations, and executive leadership, you’ll organize proposal schedules, coordinate cross-functional teams, manage pursuit documentation, and ensure every submission is accurate, compliant, and delivered on time.
This role is ideal for someone who enjoys managing multiple priorities, improving processes, and keeping complex projects moving. Your work will help create a consistent, scalable pursuit process that supports Imperial’s continued growth and commitment to quality.
What You’ll Do
- Coordinate proposal and bid pursuits from opportunity through final submission.
- Develop and manage proposal schedules, kickoff meetings, assignments, and deadlines.
- Coordinate communication between Marketing, Preconstruction, Business Development, and Operations.
- Review proposals for quality, compliance, completeness, and brand consistency.
- Coordinate bid administration activities, including solicitation forms, bid bonds, addenda, plan distribution, bid calendars, and Good Faith Effort documentation.
- Gather project experience, staff resumes, qualifications, technical information, and supporting content for proposals.
- Maintain proposal content libraries, marketing assets, project information, resumes, and boilerplate materials.
- Manage the marketing database to ensure information remains accurate, organized, and current.
- Track proposal activity, workload, and pursuit metrics to support reporting and planning.
- Recommend and implement process improvements that increase efficiency, consistency, and scalability.
- Archive proposal documentation and update completed project information for future pursuits.
- Support high-volume pursuit periods while helping deliver professional, accurate, and timely submissions.
What We’re Looking For
Education
- Bachelor’s degree in Marketing, Communications, Business, Construction Management, English, Journalism, or a related field preferred, but not required. We value relevant experience in lieu of a degree and will consider candidates with comparable professional backgrounds.
- We recognize that successful coordinators come from a variety of educational and professional backgrounds. Candidates with strong, demonstrated experience are encouraged to apply.
Experience & Skills
- Three to five years of experience in proposal coordination, marketing, business development support, project coordination, or a related role preferred.
- Commercial construction, architecture, engineering, or professional services experience strongly preferred.
- Proven ability to manage multiple projects and competing deadlines simultaneously.
- Strong organizational and project coordination skills.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and commitment to quality.
- Experience coordinating cross-functional teams and workflows.
- Proficiency with Microsoft Office, especially Word, Excel, and Outlook.
- Experience maintaining databases, project information, or marketing content libraries is preferred.
Work Environment
- Full-time, in-office position.
