Job Summary

We are seeking a dynamic and detail-oriented Front Desk Receptionist/Medical Assistant (MA) to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional customer service while efficiently managing administrative and clinical tasks. Your energetic approach will help create a welcoming environment, streamline patient flow, and support the delivery of high-quality care. The ideal candidate will possess strong medical administrative skills, familiarity with electronic health record (EHR) systems, and a passion for helping others thrive in a fast-paced healthcare setting.

Duties

  • Greet patients and visitors warmly, ensuring a positive first impression and smooth check-in process
  • Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification procedures
  • Schedule appointments using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks
  • Manage multi-line phone systems with professional phone etiquette, directing calls efficiently and courteously
  • Maintain accurate medical records by filing documents, updating patient information, and reviewing documentation for completeness
  • Assist with medical billing and collections processes, including medical coding (CPT, ICD-9/10), and ensure compliance with HIPAA regulations
  • Support clinical staff by preparing exam rooms, assisting with patient intake, and managing appointment flow
  • Utilize computer skills to update electronic health records (EHR systems), process documentation review, and support health information management
  • Handle front desk responsibilities such as greeting patients, managing waiting areas, and coordinating clinic operations
  • Perform clerical duties including data entry (10 key typing), filing, and maintaining organized medical records

Qualifications

  • Proven experience in a medical office environment or healthcare setting with front desk or administrative support roles
  • Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix is highly preferred
  • Knowledge of medical terminology, ICD-10/ICD-9 coding, CPT coding, and medical billing practices
  • Strong understanding of HIPAA regulations to ensure patient confidentiality and data security
  • Excellent customer service skills coupled with professional phone etiquette and communication abilities
  • Bilingual capabilities are a plus to serve diverse patient populations effectively
  • Proficiency in Microsoft Office Suite (Word, Excel) and basic computer skills for documentation and scheduling tasks
  • Experience with dental terminology or dental office management systems like Eaglesoft or Dentrix is advantageous for dental clinics
  • Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
  • Prior clinic or hospital experience is preferred to understand healthcare workflows and patient care processes
