Position Overview
This role supports the Principal of an Orange County real estate company with financial, administrative, and personal business functions, including oversight of a 501(c)(3) charitable foundation. The ideal candidate is highly detail-oriented, maintains strict confidentiality, and has strong accounting and organizational skills. This is a full-time, on-site position.
Key Responsibilities
- Manage financial operations across multiple entities using QuickBooks, including construction projects, payroll, and vendor payments
- Streamline and automate accounting processes; assist with onboarding additional entities into QuickBooks
- Oversee accounts payable, including invoice review, coding, approvals, and timely payment processing (ACH)
- Prepare weekly cash and credit card reports for the Principal to track spending and trends
- Perform monthly bank and credit card reconciliations and prepare management reports
- Assist with budgeting, rolling cash flow forecasts, and financial reporting
- Ensure proper internal controls, compliance, and safeguarding of assets
- Audit and resolve discrepancies; follow up on missing receipts and documentation
- Support tax preparation by collecting required data, tracking relevant expenses, and coordinating with external tax advisors
- Handle requests and communications with internal teams, vendors, and external partners, including philanthropic organizations
- Coordinate with household staff on finance-related matters
- Manage incoming communications (calls, emails, mail) and assist with administrative tasks
- Support special projects and ad hoc requests as needed
Qualifications
- Bachelor’s degree in Accounting or related field
- Strong knowledge of GAAP and month-end close processes
- Proven experience with QuickBooks and managing multiple entities
- Proficiency in account reconciliations and financial reporting
- Strong analytical, organizational, and problem-solving skills
- Excellent communication and interpersonal abilities
- Self-starter with the ability to prioritize and work effectively in a fast-paced environment
- High level of professionalism, discretion, and attention to detail
Salary : $80,000 - $110,000
