We are seeking a detail-oriented and highly organized Accounts Payable Specialist to support daily AP operations, manage invoice workflows, and ensure accurate, timely processing. This role requires strong communication skills, a proactive approach to problem-solving, and the ability to manage high-volume inquiries through both shared mailboxes and case-management systems.
Key Responsibilities
- Log into and manage the Accounts Payable shared mailbox daily.
- Respond to inquiries related to payments, expenses, bills, reconciliations, credit memos, and general AP questions.
- Prioritize and organize incoming messages to maintain a clean, well-managed inbox.
- Oversee the Salesforce platform where all invoice issues are submitted and tracked.
- Create new AP cases, assign case numbers, update case fields, and ensure all supporting documentation is uploaded.
- Respond to messages and updates within Salesforce to keep cases active and progressing.
- Ensure all cases remain up to date so reporting is accurate and complete.
- Research and resolve invoice discrepancies, including payment delays and missing information.
- Communicate regularly with Purchasing, Receiving, and other internal teams to resolve issues.
- Route cases or invoice problems to the appropriate individuals or departments for resolution.
- Process invoices accurately and in a timely manner.
- Identify and correct errors or unresolved issues left behind by other departments or team members.
- Maintain clean, accurate records, ensuring all data is properly entered and reconciled.
- Support month-end close activities as needed.
Qualifications
- Previous experience in Accounts Payable or a related accounting function.
- Experience in SAP S/4 HANA
- Processing invoices - purchase order and non-purchase order.
- Experience working with shared AP inboxes and managing high-volume inquiries.
- Familiarity with Salesforce or similar case-management systems is a plus.
- Strong attention to detail, organization, and follow-through.
- Excellent communication and problem-solving skills.
- Ability to work cross-functionally with multiple internal teams.
