POSITION SUMMARY: The Administrative Assistant is responsible for answering incoming calls, appointment scheduling for clients, greeting and checking in all clients for office appointments, including paperwork for clients to fill out, scanning insurance cards, entering all demographic information into the electronic health record, entering referrals for office visits into EMR, processing co-pays of clients upon check-in for their appointments. Must be able to work Monday-Thursday 8:30am-7:00pm.
DUTIES AND RESPONSIBILITIES Greets and directs all clients Obtaining patient demographic and verifying insurance information at each visit. Obtaining necessary client information to meet current Federal guidelines and Meaningful Use guidelines for electronic medical records. Scanning pertinent client information into EMR including patient authorizations, medical records, copies of insurance cards delivered by patient, etc. Obtaining client authorization for medical records release (HIPAA compliance). Schedules any necessary appointments after completion of client visit. Monitor and review client schedules for continuing office appointments. Identifying and resolving minor client billing complaints. Assists in ordering, receiving and stocking of office supplies. Maintaining cleanliness of waiting room and receptionist office. Other duties as assigned.
EDUCATION & EXPERIENCE Minimum of a High School diploma; Associates Degree preferred. At least one year relevant experience and/or training in a behavioral health setting. EMR experience preferred
QUALIFICATIONS & REQUIREMENTS: Strong organizational skills. Strong multi-tasking skills. Strong verbal and written communication skills. Ability to work independently on assigned tasks as well as accept direction on given assignments. Able to work collectively with administration and staff. Must be able to work Monday-Thursday 9am-7pm.
