Role Description
The Office Support Staff role is a part-time (9 a.m. to 1 p.m.) , on-site position based in Lehi, Utah. This position involves assisting with client communication,meticulous document management, and maintaining a professional and welcoming office environment.
Key Responsibilities
- Client Communication: Answer inbound phone calls and greet scheduled and walk-in clients.
- Client Consultation Scheduling: Arrange consultations with potential and current clients, ensuring all parties are informed and prepared for the meetings.
- Document Management: Handle incoming and outgoing mail as well as documents dropped off by clients.
- Document Organization: Ensure that all documents are organized and filed in the appropriate place.
- Social Media: Respond to inquiries in Spanish and Portuguese on Company’s Social Media accounts.
- Office Supplies: Keep track of needed office supplies and provide lists to Admin when additional supplies must be ordered.
- Office Organization: Organize office supplies and documents and perform light cleaning responsibilities to ensure the office is organized and clean.
- Application Review and Mailing: Review packets for quality assurance purposes before mailing applications off to USCIS.
- Misc.: Assist with mail drop off and pick up and other case-related tasks and other duties as needed.
Qualifications
- Fluency in English, as well as Spanish (Portuguese is a plus)
- Excellent written and oral communication skills.
- Basic computer skills, including the use of email, word processing, spreadsheet, case tracking, and PDF software.
- Strong attention to detail and organizational abilities.
- Ability to manage multiple tasks effectively and efficiently.
- Must be able to maintain confidentiality and handle sensitive documents and information.
- Demonstrated ability to handle high volumes of work in a fast-paced environment.
- Ability to work independently and as part of a team.
