Duties
- Greet visitors, clients, and vendors warmly and professionally, creating a positive first impression
- Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently
- Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
- Perform data entry, maintain filing systems, and handle clerical tasks such as proofreading and document preparation
- Support office management activities including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries, offering information, and ensuring excellent service at all times
- Maintain a clean, organized reception area and ensure all front desk operations run smoothly with strong time management skills
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software
- Strong typing skills combined with data entry accuracy and attention to detail
- Exceptional phone etiquette with experience managing multi-line phone systems and providing customer service
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Technical proficiency in office equipment such as printers, scanners, and fax machines is preferred
- Experience in medical or dental receptionist roles is a plus, especially familiarity with calendar management and patient communication
