What are the responsibilities and job description for the Facilities Manager position at Immanuel Living?
Position Purpose
The primary purpose of this position is to maintain Immanuel Living’s physical plant, essential mechanical and electrical systems, and Facility equipment in safe operating condition.
Position Duties
- Be primarily responsible for the overall maintenance of all Immanuel Living facilities, equipment, and grounds
- Be responsible for compliance with applicable Facility, State, and Federal safety requirements (e.g., Life Safety Code compliance for long-term care and Assisted Living surveys and Corporate safety policies and procedures)
- Maintain current knowledge of State and Federal laws and regulations that apply to maintenance services and records in long-term care. Assure compliance with maintenance and Life Safety regulations
- Anticipate maintenance requirements by implementing preventative maintenance programs and plan, control, direct, and perform maintenance duties
- Respond to emerging maintenance needs by collecting maintenance Work Orders; prioritize Work Orders in compliance with established priority system; assign staff, including self, to complete required work; inspect, replace, repair, or otherwise resolve maintenance problems within allotted time
- Communicate with requesting party when a delay in performing requested work occurs, to let the person know the reason for the delay and when the anticipated completion date is
- See that Immanuel Living emergency systems and equipment are tested and maintained in safe operating condition (e.g., fire detection and suppression systems, ventilation systems, hot water system, and resident care systems and equipment, such as resident call systems and mechanical lifts)
- Perform quality assurance functions, including compliance rounds, to evaluate compliance with State and Federal laws and regulations and Facility policies and procedures
- Be responsible for the development and oversight of the Immanuel Living Maintenance department budget
- Monitor expenses on an ongoing basis and stay within budget. If emergencies arise necessitating unbudgeted expenses, inform supervisor of the emergency and projected costs of remedying the emergency
- Inspect physical plant for signs of rodents or pests and implement pest control program when needed
- Possess a working knowledge of and willingness to contact outside contractors to perform required work when appropriate, and follow-up to make certain requested work was completed to satisfaction
- Complete and/or verify required documentation and record-keeping of Maintenance activities
- Maintain current knowledge of emergency and disaster procedures of Immanuel Living facilities
- On-call emergency response
- Maintain vendor oversight onsite
- Maintain current knowledge of State and Federal laws and regulations that apply to maintenance services and records. Assure compliance with maintenance and life safety regulations
Supervisory Duties
- Orient, train, and evaluate Maintenance staff performance by observing staff at Immanuel Living on all shifts, and by auditing Facilities staff records and performing spot checks on work done, for accuracy and completeness
- Arrange for department-specific and individual employee training when needed to teach staff how to perform maintenance skills, maintain new equipment, perform new maintenance tasks, etc.
- Conduct employment performance evaluations
- Ensure that Maintenance staff are complying with all Corporate and OSHA compliance programs (e.g., Control of Hazardous Energy Program, Hazard Communication Program, Bloodborne Pathogens Exposure Control Plan, Infection Control Plan)
- Develop and maintain a staffing schedule that assures sufficient numbers of Maintenance personnel to meet resident and Facility needs, including a “call-in” schedule for off-duty emergency response
- Ensure that maintenance duties are completed in a quality, timely, and cost effective manner
- Attend supervisory meetings and training
Education and Experience
- Graduation from high school or equivalent required
- Bachelor’s degree preferred
- Basic mechanical knowledge required
- At least 2 years of experience in Maintenance preferred
- At least 5 years of supervisory experience preferred
- Valid / Insurable Montana Driver’s License Class D (regular license)
- Current CPR and First Aid certifications
- Low pressure boiler man’s license preferred or ability to obtain low pressure boiler man’s license within 1 year
