The Church Administrator ensures that the daily operations of Immanuel Church run smoothly and effectively. This role supports the Senior Pastor, staff, and ministry leaders by managing administrative functions, financial processes, facilities coordination, and staff support. The Administrator works to provide a welcoming, safe, and efficient environment so that ministries can flourish and the mission of the church—Make Disciples, Share Faith, and Serve Others—is fully supported.

PRIMARY JOB RESPONSIBILITIES:

  • Administrative and Financial Support

  • Provide strategic oversight for the church's financial operations, including budgeting, accounting, payroll, and contribution management.

  • Supervise the Accounting Manager and Ministry Assistant, ensuring accuracy, compliance, and excellence in all financial and database functions.

  • Partner with the Senior Pastor and serve as staff support for Finance, Trustees, and Staff-Parish Relations committees.

  • Human Resources and Office Oversight

  • Lead and support the HR and Volunteer Management functions, ensuring excellence in staffing, onboarding, and policy compliance.

  • Oversee employee and volunteer records, payroll, and benefits coordination while maintaining high standards of confidentiality and care.

  • Champion a healthy staff culture through effective communication, encouragement, and adherence to Guardians of Trust training and documentation standards.

  • Facilities and Operations

  • Oversee facility operations and scheduling to ensure spaces are well-maintained, welcoming, and aligned with ministry priorities.

  • Partner with the Maintenance Manager and vendors to manage contracts, budgets, and service agreements with excellence and stewardship.

  • Collaborate with the Trustees and Finance Team to ensure facilities remain safe, cost-efficient, and mission-focused.

  • Ministry Support

  • Provide assistance to ministry leaders to help them achieve program goals.

  • Ensure staff and volunteers have the resources, equipment, and administrative support they need.

  • Communications

  • Provide leadership for the church's communication strategy, supervising the Communications Manager and ensuring consistent, mission-driven messaging.

  • Oversee all communication channels—print, digital, and online—to ensure timely, clear, and engaging connection with the congregation and community.
  • Collaborate across ministries to align branding, design, and storytelling with the vision and values of Immanuel Church.

  • IT Supervision

  • Oversee all church technology systems—including IT infrastructure, networks, and office equipment—ensuring reliability, security, and efficiency.

  • Partner with vendors to manage contracts, support services, and technology improvements that enhance ministry effectiveness and stewardship.

All other duties as assigned.

SPIRITUAL QUALIFICATIONS:

  • Must be a growing Christian, deepening his/her personal relationship with Jesus Christ, as Savior and Lord, and modeling this faith relationship to others (1 Timothy 3:1-13). This must include a visible commitment to prayer, submission to the authority of Scripture, and dedication to living out the truth of God's Word (2 Tim 3:16).

  • Must have a calling from God to serve in the ministry of the local church.

  • Desirable spiritual gifts: administration, service, helps, encouragement, faith, and leadership.

  • Must be willing to support realization of the church's vision, mission, core values, and biblical priorities.

COMPETENCIES & KEY RESPONSIBILITIES

  • Provide oversight of financial operations, ensuring alignment with strategic goals set by the Senior Pastor, Finance Team, Church Council, and the mission, vision, and values of Immanuel.

  • Lead and supervise the Maintenance Manager, administrative office staff, volunteers, and additional personnel as assigned, fostering a high-performance culture and operational excellence.

  • Represent Immanuel Church in engagements with external organizations, vendors, and partners, negotiating contracts and agreements that align with the church's operational and financial interests.

  • Ensure full compliance with the GMC and all applicable local, state, and federal laws, partnering with the Senior Pastor and lay leadership to uphold governance and legal integrity.

EDUCATION AND EXPERIENCE:

  • Bachelor's degree in business, administration, or related field preferred; relevant work experience accepted in place of degree.

  • Prior experience of at least five (5) years in office management, finance, or large church/nonprofit administration.

  • Proficiency with Microsoft Office Suite, QuickBooks (or similar), and standard office technology.

  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities.

  • Willingness to learn and adapt to an ever-changing environment.

PHYSICAL DEMANDS:

  • Ability to work in a dynamic, multi-campus environment, including extended periods of sitting, standing, and walking during meetings, events, and facility inspections. This includes visits to construction sites, renovation projects, and major facility improvements, requiring awareness of safety protocols and hazard precautions.

  • Mobility to navigate church facilities, including the ability to walk, bend, twist, kneel, and climb stairs as needed for operational oversight and ministry support.

  • Manual dexterity sufficient to operate a computer, office equipment, and digital communication tools essential for leadership and financial management.

  • Strong visual acuity required for analyzing reports, reviewing financial data, and monitoring facilities, including close, distance, color, and peripheral vision, depth perception, and the ability to adjust focus.

  • Ability to occasionally lift and transport materials (up to 20 lbs.), with or without assistance, for meetings, presentations, and facility needs.

  • Reliable transportation to multiple church campuses, external meetings, and community engagements as part of responsibilities.

  • Emergency response readiness, including availability to assess and coordinate responses for urgent facility issues, security concerns, or weather-related incidents impacting church operations.

WORK ENVIRONMENT:

  • Primary work location is in-person at the Lakeside Park Campus, with regular on-site leadership required at all Immanuel Church campuses and ministry locations.

  • A typical workweek ranges from 45-60 hours, Monday through Friday, with flexibility based on organizational needs, strategic initiatives, and facility operations.

  • Sunday morning presence and participation in worship services, leadership meetings, or ministry oversight may be required, with flexibility to adjust schedules as needed to maintain work-life balance.

  • As a Church Administrator, availability for urgent or high-level matters—including financial, operational, or facility-related concerns—is expected, ensuring continuity in church administration and crisis response.

Each maintains pre-determined alignment characteristics that uphold the Immanuel Church mission, (Make Disciples, Share Faith, and Serve Others), while also containing some contextualized characteristics to allow it to best reach its targeted local community.
