Position Summary
Imaging Associates is seeking a highly organized and detail-oriented Project Coordinator to support the rollout of enterprise AI and automation initiatives across our healthcare operations. This role plays a key part in driving execution, coordination, testing, and change management efforts that improve patient outcomes and operational efficiency.
The Project Coordinator will partner closely with leadership, operations, IT, and AI engineering teams to manage timelines, facilitate testing and validation, support go-live readiness, and ensure sustainable adoption of new processes. This is a hands-on role ideal for someone who enjoys structure, cross-functional collaboration, and working in a fast-paced healthcare environment.
Key Responsibilities
Project Planning and Execution
Develop, maintain, and track detailed project plans, milestones, dependencies, and ownership across defined implementation phases
Manage day-to-day execution using Asana, ensuring transparency, accountability, and momentum
Maintain and organize all project artifacts, documentation, and workflows
Testing and Validation
Coordinate and facilitate testing of AI-driven automation supporting indexing, scheduling, claims scrubbing, and gamification workflows
Prepare test plans, agendas, scenarios, observation tools, and documentation templates
Compile findings, identify defects or process gaps, and communicate refinements to AI engineering partners
Change Management and Enablement
Support frontline staff and leadership through process changes with hands-on coaching and training
Facilitate workshops and readiness sessions to support adoption and sustainability
Serve as the primary operational liaison between project teams, department leaders, and staff
Performance Monitoring and Reporting
Define and implement daily performance metrics for AI agents and operational workflows
Integrate metrics into leadership huddles and ongoing monitoring processes
Prepare and deliver weekly project status reports including risks, issues, and resource needs
Go-Live and Post-Implementation Support
Support go-live readiness planning and execution
Provide post-launch stabilization support and follow-up improvements
Documentation and Capacity Building
Develop training materials, standard work documentation, and reference guides
Support long-term operational improvements across HR, patient experience, and revenue cycle processes
Knowledge, Skills, and Abilities
Strong proficiency with Asana or similar project management tools
Experience facilitating workshops, testing sessions, and readiness events
Ability to create clear process maps, documentation, and performance dashboards
Comfort working with data, metrics, and trend analysis
Working knowledge of AI-driven automation concepts in healthcare environments
Strong communication skills with the ability to coordinate across clinical, technical, and operational teams
Understanding of HIPAA and healthcare compliance requirements, with strict respect for PHI boundaries
Excellent time management with the ability to prioritize competing demands
Required Qualifications
Bachelor’s degree in Business, Healthcare Management, Project Management, or a related field, or equivalent experience
Two or more years of experience in project coordination, preferably in healthcare, automation, or technology-driven environments
Preferred Qualifications
Certified Associate in Project Management (CAPM)
Project Management Professional (PMP)
Prosci Change Management certification or similar
Agile or Scrum certification such as Certified ScrumMaster
Physical Demands and Work Environment
Primarily office-based work with standard computer and electronic equipment
Occasional travel to Imaging Associates facilities, including exposure to cold weather or imaging equipment environments
Ability to sit, stand, walk, and occasionally lift up to 25 pounds, with reasonable accommodations available
