Operations Manager – Part-Time
Position Overview
Image Impact Painting LLC is seeking a reliable, organized, and motivated Part-Time Operations Manager to help oversee and coordinate the day-to-day operations of our growing painting company.
This is a flexible, part-time position designed for someone who is organized, dependable, communicates well, and enjoys keeping things running smoothly. The Operations Manager will work closely with ownership, customers, and our field crew to ensure jobs are properly scheduled, communicated, documented, and completed.
The ideal candidate will be comfortable wearing multiple hats and taking initiative. Responsibilities will vary from day to day based on the needs of the business.
Key Responsibilities
Customer Communication
- Answer incoming phone calls and respond to customer inquiries
- Return phone calls, emails, and messages
- Communicate with customers regarding scheduling, project updates, and general questions
- Maintain professional and friendly customer relationships
- Help coordinate estimates, consultations, and project start dates
Scheduling & Coordination
- Schedule residential and commercial painting projects
- Coordinate schedules with customers and field crews
- Help organize upcoming projects and maintain the company calendar
- Communicate schedule changes and updates to employees and customers
- Help ensure crews have the information and materials needed for upcoming jobs
Invoicing & Administrative Duties
- Prepare and send customer invoices
- Track deposits, progress payments, and outstanding balances
- Assist with accounts receivable and basic bookkeeping tasks
- Organize project paperwork and customer information
- Maintain accurate digital records
- Assist with preparing estimates, proposals, contracts, and other documents
Day-to-Day Operations
- Help keep the company's daily operations organized and on track
- Coordinate materials, deliveries, equipment, and other job-related needs
- Communicate with suppliers and subcontractors when necessary
- Help monitor project progress and follow up on outstanding items
- Assist ownership with administrative and operational tasks
- Identify problems before they become larger issues and help find solutions
- Take on additional responsibilities as needed to support the continued growth of the company
Ideal Candidate

- Is highly organized and detail-oriented

- Can prioritize multiple tasks and manage changing schedules
- Is comfortable communicating by phone, email, and text

- Is willing to take initiative rather than waiting to be told what needs to be done
- Has previous experience in office administration, scheduling, construction, painting, property management, or a similar field (preferred but not required)
Hours & Flexibility
This is a part-time position with flexible hours. The schedule can be structured around the needs of the business and the candidate's availability.
Some responsibilities may be handled remotely, while certain tasks may require being in the office or meeting with the owner, crew, customers, or vendors.
The workload may vary depending on the company's current projects and scheduling needs.
