Job Title: Payroll Clerk
Reports To: Payroll Administrator/ HR
Job Summary:
The Payroll Clerk is responsible for managing our timekeeping platforms, reviewing and entering payroll-related data across multiple FEINs, and assisting the HR and Finance departments with administrative tasks. The ideal candidate is detail-oriented, knowledgeable in workforce management systems, and committed to confidentiality and accuracy.
Key Responsibilities:
1. Timekeeping System Management
- Oversee, monitor, maintain, and troubleshoot the digital timekeeping system to ensure accurate daily employee entries and supervisor approvals.
- Audit time records for correct job numbers, cost codes, overtime classifications, and approvals.
- Communicate with supervisors to resolve missing or incorrect timecard submissions.
- Generate and submit weekly timekeeping and benefits reports for payroll review.
- Calculate and enter per diem and expense reimbursements for eligible employees.
2. Compliance & Reporting
- Submit daily customer billing reports and coordinate with field supervision to resolve errors.
- Ensure confidentiality of sensitive employee and company information.
- Generate reports for management, finance, and auditing purposes
3. Administrative Support & Communication
- Coordinate with HR to update employee status (new hires, terminations, promotions)
- Respond to employee inquiries regarding payroll, deductions, and benefits
- Collaborate with HR and Finance departments to resolve discrepancies
- Assist in benefits administration and leave tracking as needed
Qualifications & Skills:
Education & Experience
- Associate degree in accounting, Finance, or related field preferred
- 2 years of experience in payroll, office/benefits administration, or accounting preferred
Technical Skills
- Experience with workforce management systems and timekeeping platforms
- Prior experience with Exaktime or Procore a plus
- Skilled in Microsoft Suite and other data management tools
Soft Skills
- High attention to detail and accuracy
- Strong organizational and time management skills
- Excellent communication and problem-solving abilities
- Ability to handle confidential information with integrity
Certifications & Requirements
- Background check clearance
- Preemployment drug screening
- Familiarity with labor laws and HR practices

- Office-based setting with standard working hours
- May require occasional overtime during payroll cycles or audits
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
Expected hours: 40 per week
