Role Description
The Administrative Assistant (Operations & Pastoral Support) plays a critical role in ensuring the day-to-day operations of Image Church run with excellence, clarity, and intentionality. This position serves as a trusted operational partner to the Pastor and Executive Director, providing high-level administrative, organizational, and systems support that enables effective leadership and ministry execution.
This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced, mission-driven environment and brings strong technical proficiency, sound judgment, and a servant-leader mindset. The Administrative Assistant anticipates needs, manages competing priorities, and supports ministry leaders and staff through well-organized systems, clear communication, and consistent follow-through.
The position requires discretion, professionalism, and the ability to handle sensitive information with care. Success in this role means balancing administrative excellence with a heart for service, helping ensure the church’s people, processes, and programs are supported with intention and integrity.
Key Responsibilities
- Provide high-level administrative and operational support to the Pastor and Executive Director, including calendar management, meeting coordination, and ministry engagements
- Serve as a liaison between church leadership, ministry leaders, staff, volunteers, and external partners
- Maintain and optimize church systems including Planning Center, Google Workspace, calendars, and shared drives
- Ensure ministry schedules, rosters, and calendars are accurate and maintained at least three months in advance
- Track projects, deadlines, and action items to support follow-through across ministries
- Prepare reports, spreadsheets, dashboards, and documentation to support church operations
- Support logistics for church-wide events, conferences, and special services, including on-site administrative support as needed
Qualifications
Required Qualifications
• High school diploma or equivalent required; college coursework or degree preferred
• Minimum of 2–3 years of administrative, executive assistant, or operations support experience (church or nonprofit experience preferred)
• Strong proficiency in Google Workspace (Docs, Sheets, Calendar, Drive)
• Working knowledge of Planning Center (required)
• High-level Excel skills, including formulas, reports, and basic charts/graphs
• Excellent organizational, time-management, and prioritization skills
• Strong written and verbal communication skills with keen attention to detail
• Ability to manage multiple projects, shifting priorities, and deadlines
• Demonstrated professionalism, discretion, and confidentiality
• Self-starter with the ability to anticipate needs and solve problems proactively

Image Church is an at-will employer. This position is part-time, on-site, with limited remote flexibility as approved.
