JOB DESCRIPTION – ASSISTANT DIRECTOR

Job Title: Assistant Center Director

Reports To: Center Director

SUMMARY:

The Assistant Director will assist the Center Director in creating and fostering a supportive, nurturing environment that encourages children to learn, teachers to excel, and families to flourish. The Assistant Director is responsible for a variety of task that assigned to him/her from the Center Director to support the center’s operation both programmatic and administrative.

PRIMARY RESPONSIBILITIES:

Center/Program Management:

  • Assist the Center Director in maintaining all areas in an appropriate manner (neat, clean, and free of clutter) in order to meet or exceed State Licensing, NAEYC and STARS requirements
  • Conduct daily center classroom reviews to insure staffing levels
  • Assist the Center Director with the review all written family communication from staff prior to distribution
  • Implement all Policies and Procedures established and additional requirements required by the sponsoring organization per contractual agreement(s)

Staffing:

  • Participate in the interview process for the hiring of center staff, including teachers, assistant teachers, aides, interns, etc.
  • Assist in the supervision of center staff, including teachers, assistant teachers, aides, cooks, interns, etc.
  • Obtain and maintain all required health assessments and records, and clearances per state licensing regulations
  • Schedule all New Staff Orientation and on-going (24 hours) training, and track same in coordination with the center’s program Specialist
  • Develop, review and maintain Personal Development Records for all staff annually
  • Reinforce the training of staff in marketing techniques (telephone and drop-in inquiries)
  • Provide a written, weekly work schedule that satisfies state ratios, while considering the needs of staff and families including any floating staff and student work study or internships
  • Ongoing maintenance and safe keeping of employee files as directed by the Center Director
  • Submit staff wage increases for approval in a timely manner
  • Submit payroll changes and forward benefit enrollment forms in a timely manner

Marketing and Advertising:

  • Conduct enrollment tours and intake meetings and follow-up with potential families
  • Report significant enrollment changes as required, and consult with management team regarding marketing plans and strategies, as needed
  • Maintain and monitor waiting list in conjunction with the additional centers provided by sponsor

Community Relationships:

  • Support, represent and promote Illumination Early Learning Center and the Jewish Community Center within the early childhood community.
  • Assist in the delivery and development of the training system for early childhood professionals within IELC, in program, community and region.
  • Represent the program at local, state and national level –PA Key, Keystone STARS, PA Office of Child Development, NAEYC, PACCA, with regard to professional preparation and early childhood curriculum, early learning standards.

Family Relationships:

  • Provide timely information regarding staff and policy changes, tuition rate changes
  • Coordinate all early intervention agency services and facilitate intensive intervention strategies.
  • Encourage daily verbal and written communications
  • Assist in oversight and development of family newsletters and take home folder materials
  • Ensure opportunities to arrange family conferences
  • Schedule and conduct intake interviews, review center policies, arrange meetings with primary caregivers at the time of initial enrollment and at times of transitions. This includes completion of intake forms and maintaining an enrollment binder.
  • Provide families with internal and NAEYC questionnaires, and establish center goals for improvement.

Fiscal Responsibilities:

  • Collect and deposit family tuitions
  • Prepare and submit subsidy invoicing to appropriate agency
  • Prepare and submit tuition reports to JCA
  • Manage the center’s family accounts receivables
  • Manage petty cash account in conjunction with the Center Director
  • Maintain staff Paid Time Off requests
  • Inventory and request supply items to support classroom activities
  • Assist the Center Director in maintaining a log of facility maintenance requests

Classroom Management:

  • Review and maintain medication logs
  • Complete and maintain injury reports, create action plans as necessary to prevent future injuries
  • Conduct supervision audits as directed by the Center Director
  • Maintain all children’s files as prescribed by the Pennsylvania Depart of Public Welfare regulations for licensing as a child care center
  • Record program information, attendance and enrollment information for OCDEL

Personal Professional Development:

  • Attend and participate in 24 hours of approved learning opportunities related to ECE field
  • Maintain a personal professional portfolio or Professional Development Record (PDR)
  • Obtain, update and satisfy all requirements of the job, including health assessments, clearances, etc.
  • Participate in three Professional Growth Activities as defined by STARS

Knowledge and Skill Requirements:

This individual should have a minimum of 3-5 years of early childhood experience with a quality provider. A 4-year degree in ECE or related field with minimum ECE credits as defined by Career Lattice or Pathway. Director Credentials preferred or ability of obtain timely will be a plus.

Early Childhood Knowledge:

  • Has the ability to vocalize to families and staff how young children develop based upon information provided in the NAEYC Leading Edge Series or other publications.
  • Recognize and ensure that activities in each classroom are age-appropriate based on the information in NAEYC’s Developmentally Appropriate Curriculum for Early Childhood Programs by Susan Bredekamp and Carol Copple.
  • Recognize and ensure that adult-child interactions, curriculum, environment, equipment, health and safety, and nutrition in each classroom are age appropriate and follow best practices.
  • Recognize and discern whether activities and programming in the classrooms and centers are culturally sensitive to center clientele.
  • Name the domains of children’s learning; physical, social, emotional, and cognitive, and explain the importance of an integrated curriculum approach based on these four domains of learning.
  • Describe and recognize the “ages and stages” of children’s development in the classroom.
  • Recognize and ensure that activities in each classroom support the PA Early Learning Standards Aligned System.

Physical Demands:

  • Employee must be able to supervise children- to see hear, direct, and assess the activities of children as instructed by the Department of Public Welfare (DPW).
  • Supervise and interact with children outdoors in varied weather conditions in order to comply with regulatory agencies.
  • Lift, move, or hold children or objects up to 35 pounds repeatedly throughout the your work day while remaining stable on your feet at all times.
  • Demonstrate full range of motion lift, reach, squat, climb, sit, and otherwise fully participate in activities.
  • Interact with children on the floor, have the physical ability to assist children on or under climbers and with other learning equipment and materials and respond immediately and appropriately to multiple or unexpected situations or emergencies.
  • Maintain mental and physical alertness and an appropriate energy level necessary to perform essential job responsibilities.
  • Follow state, federal and agency guidelines, employment medical examinations, and required health and safety training.

During routine medical appointments, or when visiting a health care provider for any health related concerns that could impede work performance, employees need to provide a copy of the Health Appraisal / Essential Physical Functions form and a copy of your job description to them (physician, CRNP). The health care provider should review the job description and complete and sign the Health Appraisal / Essential Physical Functions form. Employees should return the signed form to their center director.

Whenever a supervisor has a concern regarding an employee’s inability to meet the above requirements, the employee may be asked to have their health care provider review, complete and sign the Health Appraisal / Essential Physical Functions form. Employees should return the signed form to their center director

Working Conditions:

  • Working conditions are typical for an early childhood program, and may require occasional weekend and/or evening work.

Work Schedules:

All employees are expected to arrive at work on time according to their work schedule. Employee’s personal items should be placed in the appropriate, approved and secure location (which is out of reach of children) prior to signing/clocking in. All employees are expected to sign or clock in and immediately proceed to their assigned work area according to their work schedule and begin their workday.
