Position Overview
Under direction, serves as working supervisor to clerical staff performing a variety of specialized and technical functions; maintains confidential files/documents of active/closed DHS cases and distributes/prepares mail.
Job Responsibilities
- Serves as working supervisor.
- Reviews activities of staff pulling and preparing closed case records for storage to verify accuracy.
- Receives requests from authorized case worker staff for case records from files.
- Serves as RACF (Resource Access Control Facility) Coordinator for the office.
- Monitors staff in the receipt, sorting, stamping and distribution of incoming mail.
- Monitors distribution, ordering and replenishing of office supplies, including monitoring and verifying confidential paperwork is shredded, bagged and securely disposed of.
- Keyboards a wide variety of complex memos, reports and correspondence involving medical, technical, and legal terminology.
- Reviews the issuance and replacement of LINK cards to verify the proper input of calculations so timely service is received.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of two (2) years of study at a secretarial/business college and one (1) year of office experience; or completion of high school and three (3) years of Office Assistant experience; or three (3) years independent business experience.
- Requires ability to keyboard accurately at 30 wpm.
Preferred Qualifications
- Three (3) year of experience utilizing program operations and policies for a human services organization.
- Two (2) years of experience utilizing office procedures and programs for a public or private organization.
- Two (2) years of professional experience communicating clearly and effectively both orally and in writing with both internal and external officials, providers and/or the public.
- Two (2) year of experience directing and supervising the work of clerical support office staff.
- Two (2) years of experience operating manual and automated office equipment.
- Two (2) year of supervisory experience assigning work, providing guidance to subordinates, recommending counseling and/or discipline following collective bargaining agreements, training staff and approving time off.
