Duties
- Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle incoming calls using proper phone etiquette, directing inquiries to appropriate staff members efficiently
- Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office
- Perform data entry and maintain accurate filing systems both physically and electronically, ensuring easy retrieval of documents
- Support office management activities such as ordering supplies, organizing files, proofreading documents, and updating records
- Manage correspondence through email and written communication, ensuring clarity and professionalism in all interactions
- Maintain confidentiality of sensitive information while executing clerical responsibilities efficiently
- Assist with special projects related to office operations or administrative improvements
Experience
- Proven experience in an administrative or clerical role within an office environment is required
- Demonstrated proficiency with Microsoft Word, Excel and PowerPoint
- Strong organizational skills with the ability to multitask effectively
- Excellent written and verbal communication skills
- Familiarity with multi-line phone systems and office management procedures is essential
- Knowledge of office procedures including filing systems, proofreading documents, time management techniques, and calendar management
- Ability to adapt quickly to new technologies and office practices while maintaining high levels of accuracy and efficiency
