Position Summary

The selected candidate will be responsible for leading a multifaceted alumni engagement program, in collaboration with alumni leadership, administrative leaders and program staff, to increase alumni volunteer and financial support of IMSA. The Alumni Program Coordinator reports to the Executive Director of Development.

The ideal candidate will bring new ideas and experience that will enable them to

  • Build community among IMSA alumni, students, staff, and friends
  • Support students with alumni resources
  • Facilitate alumni connections between students, fellow alumni, and the Academy
  • Use available technology and connections to keep track of alumni, celebrate their success, and meet their needs.


The internationally recognized Illinois Mathematics and Science Academy (IMSA) develops creative, ethical leaders in science, technology, engineering, and mathematics. As a teaching and learning laboratory created by the State of Illinois, IMSA enrolls academically talented Illinois students (grades 10-12) in its advanced, residential college preparatory program. It also serves thousands of educators and students in Illinois and beyond through innovative instructional programs that foster imagination and inquiry.

Essential Duties And Responsibilities

  • Manage in-person and online relationships with alumni and support their needs/interests as they relate to IMSA.
  • Develop and execute strategies to build alumni community, enhancing connections between alumni, and between alumni and IMSA.
  • Serve as lead contact/liaison for the IMSA Alumni Association.
  • Plan and lead various alumni- and institutional-related activities, including, but not limited to the annual Alumni Weekend, Career Forums/Fair, Alumni-Student Mentorship programs, Alumni Awards, career Alumni panels and regional alumni events.
  • Leverage faculty and staff to engage alumni as guest speakers and volunteers for classes and special events, including, but not limited to Convocation, Veterans Day, Admissions activities, career panels and student club activities.
  • Proactively reach out and build one-on-one relationships with Alumni through personal outreach.
  • Proactively seek new and updated information about IMSA alumni and capture data and information needed in Raiser’s Edge software for institutional advancement and reporting purposes.
  • Utilize Raiser’s Edge NXT database to track alumni involvement and relationships, event attendance, event registration, and more.
  • Create content for Alumni communications, including monthly newsletters, e-mails and social posts in collaboration with the Public Affairs team.
  • Manage and expand Alumni section of imsa.edu website.
  • Collaborate with Student Life and student clubs/groups to build and sustain positive relationships between our students and our alumni and donors.
  • Assist the development staff in identifying donor prospects, steward current donors, and incorporate fundraising components into select alumni events.
  • Assist with departmental and institutional projects as needed, including donor relations, solicitations, research, and special events.
  • Other duties as assigned.


Minimum Qualifications

  • Bachelor’s degree with three (3) years of professional experience in alumni relations, development or related field
  • Excellent interpersonal skills with ability to establish, build and sustain strong relationships.
  • Excellent written and verbal communication skills.
  • Exceptional problem-solving skills with the ability to be creative, innovative, flexible and decisive.
  • Excellent project and management skills, including keen attention to detail.
  • Demonstrated ability to work well with a variety of individuals from diverse populations.
  • Ability to use good judgment and discretion with confidential information.
  • Ability to work independently, resolve issues, seek help when needed, and work on concurrent projects.
  • Experienced user of common computer hardware, office productivity software (e.g. Microsoft Office, budget software), and social media platforms
  • Must possess a valid driver’s license.
  • Ability to work irregular schedules, including periodic evening and/or weekend hours.
  • Ability to travel as needed.


PREFERRED QUALIFICATIONS

The preferred qualifications for this position include

  • Special event experience strongly preferred.
  • Experience in recruiting, organizing, and managing volunteers.
  • Development or alumni relations experience in a higher education or specialized school setting.
  • Experience using Raiser’s Edge


WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This role generally requires mobility, written and verbal communication, and hearing and visual capabilities. In addition, ability to load/unload and move materials/boxes weighing up to 50 pounds. However, reasonable accommodations, including assistive technology, may be made to enable qualified individuals with disabilities to perform such requirements.

COMPENSATION

This position is a full-time, exempt, 12-month, employment-at-will position. Salary regionally commensurate with training and experience in like-institutions with a range of $72,000 to $87,000. IMSA offers a comprehensive state benefits package (major medical, dental, vision, and prescription) with rates found here, a generous paid time off plan, and a retirement plan through the State University Retirement System (SURS). SURS is reciprocal with other Illinois public retirement systems such as the Teachers’ Retirement System of Illinois (TRS) and the Illinois Municipal Retirement Fund (IMRF).
