Position Overview
The Part-Time Administrative Project Coordinator will manage the day-to-day operations of a new Peer Mentoring Program within a special project initiative in Industrial Technology and Management supporting Daley College students transitioning to the INTM Bachelors degree at Illinois Tech. Reporting to the INTM Director, this role focuses on program administration, data collection/reporting, documentation, and communications for the mentoring program while learning transfer-related processes in the INTM program. The position is part-time (23.25 hours/week) with a mix of on-campus (Illinois Tech and Daley College), and on-site responsibilities. Travel to Daley College and occasional industry partner sites is required.
Key Duties & Responsibilities
Mentoring Program Management (Primary Focus ~60% of role)
- Coordinate mentor-mentee matching using survey data and the pairing algorithm; perform administrative adjustments for compatibility.
- Schedule and facilitate biweekly one-on-one meetings, monthly group sessions, semester workshops; track attendance and goal progress.
- Oversee student mentor enrollment, reflections, and faculty collaboration.
- Manage the collaborative mentor-mentee project lifecycle:
- Collect project outlines/proposals for faculty approval
- Schedule mid-project (10-min) and final (15-min) presentations
- Coordinate Poster Symposium logistics (fall/spring at Daley MTEC): venue setup, poster printing, Q&A scheduling, Best Poster awards, VR displays, and networking reception
- Administer mentor training (led by a third-party partner): register student participants, track completion of in-person workshops and online modules, and organize a Mentor Certification Ceremony.
- Support faculty advisor activity and monthly mentor check-ins; identify issues for escalation.
- Coordinate celebratory events: Welcome Celebration (fall), First-Semester Milestone
- Event (spring), and integration with INTM banquets/convocations.
Data Collection, Reporting & Documentation (~20% of role)
- Maintain program database: track retention (target 85%), GPA (3.0 ), event participation (80% ), survey responses on confidence/belonging, and focus group outcomes.
- Document all activities: meeting notes, project deliverables, training certifications, and related project deliverables.
- Analyze data using existing statewide/systemwide tools to inform outreach and refinements.
Communications & Outreach (~15% of role)
- Serve as primary liaison for mentoring program communications with INTM faculty, Daley MTEC staff, OMD, industry partners and students.
- Develop and distribute promotional materials: social media posts, website updates, event flyers, and email campaigns for mentoring milestones, symposiums, and transfer info sessions.
- Facilitate Transfer Information Sessions, Community College Partnership Visits, and Transfer Exploration Nights; provide on-site support at Daley College.
- Benchmark INTM mentoring processes across university systems for scalability.
Learning & Support for Student Transfer Processes (~5% of role)
- Shadow INTM staff on transfer navigation tasks (e.g., credit policies, registration pathways, financial aid routes).
- Assist in outreach engagement and related travel planning
- Contribute to evolution of transfer initiatives under guidance from the INTM Director.
Required Qualifications
- Bachelors degree (or equivalent experience) in education, project management, administration, or related field.
- 2 years of administrative/coordination experience, preferably in higher education, student support, or mentoring programs.
- Strong organizational skills with proficiency in Microsoft Office, database management, and virtual platforms
- Excellent written/verbal communication; Familiarity with manufacturing/STEM education or community college transfer pathways.
- Experience with survey tools, algorithms for matching, or event planning (e.g., symposia, ceremonies).
