Job Summary

The Fleet Coordinator ensures that all vehicles are properly maintained, insured, registered, and scheduled for service. You will also coordinate with vendors, customers, staff, and management to optimize the efficiency and performance of our fleet operations. To be successful as a fleet coordinator, you should have excellent organizational, communication, and problem-solving skills. You should also have a good knowledge of vehicle maintenance, repair, and safety standards. You should be able to work independently and as part of a team.

Job Duties And Responsibilities

  • Maintain a fleet inventory of all vehicles owned by the company, including their make and model, purchase date, current mileage, and any outstanding repairs that need to be made.
  • Coordinate with insurance companies to file claims for damaged vehicles.
  • Coordinate with the accounting department to arrange for payment for services rendered.
  • Monitors, records, and reports non-conforming drivers against IES Fleet Policy.
  • Effectively coordinates fleet requests for vehicle repairs and maintenance.
  • Manages fleet shared inbox.
  • Maintains, audits, and revises vehicle information and records within company database.
  • Orders and tracks safety kits material and decals.
  • Conducts monthly audits to ensure fleet information under each department is up to date.
  • Assist with monthly invoicing and expense reports.
  • Assists Fleet Manager with monthly KPI reports.
  • Providing back-up for vehicle maintenance approvals
  • Assist with vehicle purchases and replacements.
  • Assist with process improvement.
  • Other responsibilities as assigned.

Qualifications

Physical and Mental Requirements:

  • Is self-motivated, positive in approach, and professional in all forms of communications.
  • Self-manages assigned workload distribution.
  • Able to preserve confidential information; self-sufficient problem solver; work with little or no supervision and handle multiple projects simultaneously.
  • Can travel within branch territory and/or regional territory as needed.
  • Regular attendance is required.


Education, Certification, License, And Skill Requirements

  • Must possess at least a High School diploma or GED equivalency.
  • Must have experience in customer interface, such as liaison between the customer and the Company.
  • Previous experience in fleet management or a related field (3 yrs minimum).
  • Knowledge of vehicle maintenance, repair, and safety standards
  • Proficiency in Microsoft Office and other computer applications
  • Must meet Company minimum driving standards.
  • Excellent organizational, communication, and problem-solving skills
