Job Summary
We are seeking a highly organized and detail-oriented Assistant Manager / Operations Associate to support our St. Louis, Missouri office. This is an essential role focused on helping with administrative and operational functions, managing accounts receivable, scheduling transport for repossessions, and ensuring smooth coordination between field and office teams. The ideal candidate will have experience in QuickBooks, invoicing, bookkeeping, and office administration, with attention to detail and a strong sense of ownership.
Key Responsibilities
Administrative & Financial Oversight
- Assist with financial recording in QuickBooks for billing, payments, and accounts receivable
- Assist with general bookkeeping tasks and financial tracking
- Generate and reconcile invoices in a timely manner
- Coordinate with clients on payment-related matters
Scheduling & Operations Coordination
- Manage scheduling of repossession transport jobs across Missouri and Illinois
- Work closely with field agents to provide office support as needed
- Maintain accurate scheduling records and adjust to changing field conditions
- Monitor progress of assignments and resolve scheduling conflicts
Office Management
- Support day-to-day administrative functions of the office
- Maintain digital and paper records in an organized and compliant manner
- Assist with new employee onboarding, including system setup and documentation
- Help implement process improvements for greater efficiency
Qualifications
Required:
- Bookkeeping and office administration experience
- Proficiency with QuickBooks
- Excellent attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- High School diploma or GED.
- 3 years of professional experience.
- Ability to pass a background check.
Preferred (but not required):
- Experience in the repossession, collateral recovery, debt collection, towing, or automotive industry
- Experience with scheduling and coordination (especially in transport or logistics)
- Bachelor's or Associate’s Degree
Compensation & Growth
- Pay: $20–$30/hour (based on experience)
- Hours: Full-time, with early-out Fridays
