Position Summary

The Engagement Coordinator is responsible for sourcing, recruiting, and maintaining high-quality relationships with a diverse portfolio of talent, including speakers, entertainers, celebrities, and community influencers. This role bridges external talent management with internal research and development to drive innovation in community events. You will serve as the primary point of contact for talent engagement while ensuring all event participation aligns with the organization's brand identity and strategic communication goals.

Essential Duties And Responsibilities

• Research, identify, source, and recruit speakers, artists, influencers, entertainers, content creators, and other talent for organizational events and campaigns.
• Proactively identify new and emerging talent and ideas who can engage new audiences and expand the organization’s reach.
• Develop and maintain a strong, diverse pipeline of prospective and existing talent.
• Conduct outreach and manage relationships with talent, agents, managers, and representatives.
• Evaluate potential talent based on mission alignment, audience reach, engagement potential, professionalism, and organizational needs.
• Manage talent relationships from initial recruitment through event or campaign participation and post-engagement stewardship.
• Identify opportunities to engage talent across event events, campaigns, digital content, appeals, testimonials, social media, and other organizational activities.
• Develop long-term engagement opportunities with talent beyond individual events or campaigns.
• Oversee artist and talent care, ensuring a professional and positive experience throughout each engagement.
• Collaborate with Events staff to coordinate talent travel, accommodations, transportation, hospitality, itineraries, schedules, and special requirements.
• Ensure talent receives timely communication, clear expectations, and appropriate support before, during, and after engagements.
• Research and order promotional materials that will increase engagement and align with campaigns
• Monitor entertainment, cultural, community, and social media trends to identify emerging talent and new engagement opportunities.
• Collaborate with Events, Marketing, Fund Development, Programs, and other departments to identify appropriate talent for specific campaigns, causes, audiences, and markets.
• Maintain organized talent records, contact information, engagement history, agreements, preferences, and performance information.
• Track and evaluate talent engagement, audience response, reach, event impact, and overall effectiveness to inform future recruitment strategies.
• Research new and innovative venues for events.
• Travel as needed to events, meetings, conventions, and other organizational initiatives to support talent engagement and artist care.
• Perform other related departmental duties and special projects as assigned.
  
  

Qualifications And Competencies

• Bachelor’s degree preferred in communications, public relations, marketing, business, entertainment management, or a related field.
• Minimum 3–5 years of experience in talent acquisition, talent relations, artist management, influencer relations, event management, partnerships, or a related field.
• This position requires travel as needed to support organizational activities.
• Strong ability to identify, recruit, and cultivate relationships with established and emerging talent.
• Excellent interpersonal, relationship-building, and networking skills.
• Strong communication and negotiation skills, including experience working with talent representatives, agents, and external partners.
• Ability to provide a high level of professionalism, discretion, hospitality, and artist care.
• Strong understanding of social media, cultural trends, influencers, and emerging talent.
• Ability to manage multiple talent relationships and engagements simultaneously.
• Strong organizational and project management skills with attention to detail and follow-through.
• Ability to collaborate effectively with internal departments and external partners.
• Ability to work in a fast-paced environment and respond to changing event and campaign needs.
