What are the responsibilities and job description for the Administrative Coordinator - Student Support position at Idaho CDL Training LLC?
About Us
At Idaho CDL Training, we do more than teach people how to drive trucks. We help people change their lives through new careers in commercial driving. We help them create new opportunities for themselves and their families. We're a small, close-knit team that believes how we treat people matters. We support our students and each other, take ownership of our work, and continually look for ways to improve. We believe small actions make a big impact, and everyone plays a meaningful role in creating exceptional experiences.
Our workplace culture is built around a simple idea: Driven Together - Stronger People, Stronger teams, and Stronger Culture.
About the Role
We're looking for an organized, dependable, and detail-oriented Administrative Coordinator to help students navigate their Commercial Driver License (CDL) training journey.
You'll be a consistent point of contact for students while coordinating schedules, maintaining accurate records, tracking compliance requirements, and supporting daily administrative operations across multiple training locations.
This role is ideal for someone who enjoys bringing calm order to complicated situations, solving problems, following through on details, and helping others succeed.
What You'll Do
Student Support & Communication
- Be a friendly, reliable point of contact for students by phone, text, email, and in person.
- Guide students through each step of their training journey with patience and clear communication.
- Follow up consistently to help students stay on track and overcome obstacles.
- Listen first, assume positive intent, and help students understand their options and next steps.
- Create positive experiences that leave students feeling supported and confident.
Scheduling & Coordination
- Maintain student schedules and coordinate with instructors, testers, and other team members.
- Track student progress, training hours, and required documentation.
- Identify potential scheduling conflicts or missing requirements before they become problems.
- Help keep daily operations organized and running smoothly.
Documentation & Compliance
- Maintain accurate, organized, and audit-ready student records.
- Track required paperwork, deadlines, and compliance requirements.
- Support adherence to state and federal CDL training regulations.
- Learn and follow established procedures while identifying opportunities to improve them.
Teamwork & Daily Operations
- Communicate openly with coworkers and keep everyone informed.
- Step in to support teammates when needed.
- Take ownership of responsibilities and follow through on commitments.
- Help improve processes that make work easier for our team and the student experience better.
- Contribute to a positive, supportive workplace where everyone works toward shared goals.
You'll be a great fit if you:
- Are naturally organized, detail-oriented, and dependable.
- Communicate clearly, professionally, and kindly.
- Stay calm and solution-focused when things get busy or plans change.
- Enjoy helping people and understand that patience and encouragement can make a difference.
- Take ownership of your work and follow through without needing constant reminders.
- Are comfortable managing multiple priorities while maintaining accuracy.
- Enjoy working collaboratively and supporting your teammates.
- Are willing to learn new systems, procedures, and regulations.
- Look for small ways to make things better instead of simply doing things the way they've always been done.
You don't need to know everything about CDL training when you start. We're looking for someone eager to learn, who asks good questions, values accuracy, and takes pride in their work. We believe in failing forward, where mistakes are opportunities to learn and improve. What matters is taking ownership, double-checking your work, and knowing when to ask for help.
