Role Description
This is a full-time, on-site role located in Columbus, OH, for an Event Coordinator. As an Event Coordinator, you will play a crucial role in supporting the planning and execution of various events. You will report directly to our Chief Operating Officer to ensure that every detail is handled efficiently and effectively. Your organizational skills, time-management, and ability to communicate effectively will be key to your success in this role.
Key Responsibilities
Venue Coordination:
-Research, identify, and evaluate potential venues for regional and national events.-Manage the full venue booking process, including inquiries, negotiations, contract review, and securing dates.
-Maintain ongoing communication with venue contacts to provide event details, updated schedules, COI’s, based on venue’s requirements.
-Request and collect all necessary venue documents (floorplans, tech specs, riser charts, power requirements, security policies, etc.).
-Coordinate venue-related logistics including ballroom/exhibit hall holds, AV regulations, labor requirements, and union guidelines.
-Work with the production team and event directors in the creation and distribution of event materials such as venue diagrams, merchandise layouts and show documents.
Hotel Coordination:
-Research and source hotels that accommodate staff, judges, and crew for each event.
-Negotiate group room blocks, rates, concessions, amenities, and contract terms.
-Maintain communication with hotel sales managers leading up to each event to confirm room lists, check-in arrangements, billing details, and special requests.
-Coordinate lodging logistics for all traveling team members, ensuring accurate and timely rooming lists are submitted.
-Track and ensure fulfillment of hotel perks, credits, comp rooms, room block progress and negotiated concessions.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, or a related field is preferred but not required (or equivalent experience).
- Previous experience in event planning or coordination is preferred.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- A proactive and positive attitude with a keen eye for detail.
