JOB TITLE: Project Support Specialist
JOB SUMMARY:
*PLEASE NOTE* This position is a support role with focus on organization and time management; it does not provide a career path towards an Interior Designer position within our company.
Id.3 Interior Design is seeking a highly organized and detail-oriented Project Support Specialist to provide part-time administrative and project material management support to our design team. The ideal candidate will be proactive, have excellent communication skills, and possess a strong ability to manage multiple tasks in a dynamic environment to ensure projects are completed on time and within budget.
While this is a general support role, we are looking for a candidate with knowledge of inventory management who will take lead over our material library. This person would familiarize themselves with the current building material library, removing all discontinued samples and request current samples catalogs as needed. The material library is to be organized and always stocked for designers to pull concepts for client presentations.
KEY RESPONSIBILITIES:
- Management of material library inventory
- Able to forecast material needs and interface with vendors for inventory orders
- Track and manage project material sample orders and delivery timelines
- Assist with project-related documentation, ensuring all materials are current and properly filed
- Support the Project Manager and Principal Designer with project organization and time management
- Schedule and coordinate project meetings, prepare agendas, and record minutes
- Support procurement needs by helping to coordinate with vendors and track project materials
- Assist in preparing project reports, proposals, and other necessary correspondence
- Receive and check in orders upon delivery to the office
- Receive deliveries at jobsite (as needed)
- Pick up project samples from Truckee/Reno showrooms as needed
- Provide general administrative support to the project team as needed, including but not limited to:
- Pick up mail from PO Box
- Bank deposits
- Monthly office supply inventory and ordering
- Weekly office grocery shop
QUALIFICATIONS:
- Proven experience in an administrative or project support role
- Exceptional organizational and time-management skills
- Strong verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint
- Familiarity with QuickBooks and ) and project management software such as Asana or equivalent is preferred but not required
- Must be proactive, detail-oriented, and able to work independently and as part of a team
- Must be able to lift 25lb-50lb boxes
- High school diploma or equivalent required; Bachelor's degree in a related field is a plus
- COMPENSATION:
Part time hours: Monday-Friday 10:00am – 4:00pm (potential for growth into a full-time role)
$29 .00 per hour with mileage reimbursement
Pay: From $29.00 per hour
Expected hours: 30.0 per week
