Job Overview

The Development & Donor Relations Specialist strengthens ICT SOS's fundraising infrastructure by researching and writing grant proposals and funding requests, assisting the Director of Operations with grant reporting, stewarding donor relationships, and maintaining accurate records of all monetary and in-kind donations. This is a part-time (20 hours/week) position that works in close partnership with ICT SOS's Events & Community Engagement Specialist and Partnership and Communications Coordinator to form a small, tightly coordinated development and communications team. The ideal candidate is a detail-oriented, excellent writer who is comfortable managing multiple deadlines and donor relationships with discretion, accuracy, and warmth.


How We Collaborate

ICT SOS's development and communications work is carried out by a three-person team, each with a distinct focus:

•     Events & Community Engagement Specialist (“Head of Fun and Fundraising”) — plans and executes events, secures sponsorships, and coordinates volunteers.

•     Development & Donor Relations Specialist (“Head of Donors and Data”) — writes grant proposals and funding requests, stewards donors, and manages the donor CRM.

•     Partnership and Communications Coordinator (“Head of Content and Community”) — provides administrative support and manages ICT SOS's communications and social media presence.

This role's key handoffs with the rest of the team:

•     With the Events & Community Engagement Specialist: receive event revenue, sponsorship commitments, and donor or prospect engagement details promptly, so records stay accurate and stewardship follow-up happens on time.

•     With the Partnership and Communications Coordinator: coordinate donor-facing communications, such as appeal letters, year-end campaigns, and impact updates, to keep messaging and branding consistent.


Responsibilities and Duties

Grant Writing & Reporting

•     Research prospective grant funders and identify opportunities aligned with ICT SOS's mission and programs.

•     Write and submit grant proposals, letters of inquiry, and funding applications.

•     Prepare funding requests and proposals for foundations, corporations, and other prospective funders beyond formal grant applications.

•     Assist the Director of Operations with grant reporting, helping ensure compliance with funder requirements and deadlines.

•     Maintain a grants calendar tracking application deadlines, reporting due dates, and funder requirements.

•     Collaborate with program staff to gather outcome data and stories needed for grant applications and reports.

Donor Stewardship

•     Develop and implement donor stewardship plans, including acknowledgment letters, tax receipts, and impact updates.

•     Coordinate donor communications, such as appeal letters and year-end giving campaigns, in partnership with the Partnership and Communications Coordinator.

•     Support donor recognition efforts, ensuring timely and accurate acknowledgment of gifts.

•     Assist in identifying and researching new donor prospects in collaboration with the Executive Director and Board.

Donation & CRM Management

•     Serve as the primary administrator of ICT SOS's donor database/CRM, ensuring all monetary and in-kind donations are entered accurately and promptly.

•     Generate reports on giving trends, donor retention, and campaign performance for the Executive Director and Board.

•     Track and coordinate in-kind donations, including Fresh Start Bag supplies and other program needs, in collaboration with program staff.

•     Maintain data hygiene and confidentiality of donor records in accordance with ICT SOS's privacy and records retention policies.

Cross-Team Collaboration

•     Partner with the Events & Community Engagement Specialist to ensure event revenue, sponsorships, and in-kind gifts are accurately recorded and acknowledged.

•     Provide donor and prospect information to support event invitation lists, Table of Six dinners, and Coffee & Conversation gatherings.

•     Support the Director of Operations with data, documentation, and drafting needed for grant reports, rather than owning the reporting process independently.

•     Share grant and funding updates with relevant program and finance staff.

Organization

•     Maintain confidentiality of sensitive donor, grant, and financial information.

•     Attend staff meetings, supervision, training, and multidisciplinary collaboration as required.


Qualifications

•     Bachelor's degree in nonprofit management, English, communications, business, or a related field, or equivalent professional experience.

•     Two to four years of experience in grant writing, development, or nonprofit administration.

•     Excellent writing, editing, and research skills, with demonstrated success securing grant funding.

•     Strong attention to detail and accuracy in data management.

•     Experience with donor databases/CRM systems (e.g., Bloomerang or similar).

•     Strong organizational skills with the ability to manage multiple deadlines independently.

•     Comfort handling confidential financial and donor information with discretion.

•     Proficiency in Microsoft Office Suite and/or Google Workspace.

•     Must be able to pass a background check.

Preferred Qualifications

•     Familiarity with Bloomerang or similar nonprofit CRM platforms.

•     Experience with government or foundation grant portals.

•     Familiarity with QuickBooks or basic nonprofit accounting practices related to gift processing.

•     Experience coordinating in-kind donation drives.

Working Conditions

The Development & Donor Relations Specialist works primarily in the office, with occasional exceptions for donor meetings in the community.

•     Must be able to sit for long periods while working on written materials and data entry.

•     Must be flexible with schedule to accommodate grant deadlines and occasional donor meetings.

Hours

This is a part-time position of 20 hours per week. Hours are generally flexible to meet the needs of the position, with occasional evening or weekend work required around grant deadlines, year-end giving campaigns, or donor stewardship needs.

This role has the potential to grow to full-time as grant funding, donor giving, and organizational capacity expand.
