What are the responsibilities and job description for the Facilities Project Manager position at Icon Structures, Inc DBA IS West?
ROLES
- Jobsite Safety, Code Compliance, and AHJ Requirements
- Preparing and Maintaining Project Budget and Commitments
- Preparing and Maintaining Construction Schedule (with Superintendent)
- Monitoring and Reporting Project Status
- Provide a high level of customer service and develop customer relationships
RESPONSIBILITIES
- Manage the Facility Services larger projects (Special Projects)
- Manage subcontractors and employees to ensure quality and core values are being carried out on the Facility Service projects
- Assist in Special Projects bidding. This includes, but is not limited to; pre-qualifications, quantity take-offs, bid procurement, cross evaluation of scopes, unit costing, and scheduling, bid running, and project handoff meeting
- Draft and review Prime Contract information for COO. Complete project workbook, submit to accounting and setup/update new project in Procore. Assist accounting on any Insurance and Bonding requirements.
- Complete applicable project startup meetings and establish labor and equipment rates (when applicable). Schedule and lead Owner/ Architect/ and Contractor meetings, ensure effective participation, documentation, and distribution of meeting minutes.
- Update payment application information to accounting and submit to Owner. Review and approve invoices for payment and check tax status. Assist Accounting in discrepancy reconciliations.
- Develop initial CPM as necessary and assist Superintendent in weekly progress updates, PM to finalize the formatting and issue to Owners, Architects, and other applicable entities.
- Obtain all required project permits and ensure all administrative requirements have been submitted to applicable AHJs. Pay fees as required by contract.
- Completely understand and manage the Construction Documents, update ASI Drawings, Specs, etc. and ensure information if distributed to applicable entities.
- Submit and process RFI’s thru all applicable entities. Identify any time and cost impacts of each and evaluate additional risk. Communicate any changes with project team.

- Complete jobsite visits regularly and collect photos and video. Identify and correct jobsite safety and cleanliness concerns. Identify and correct any code compliance, quality, or correctness deficiencies.
- Gather and collate all project closeout information from each sub & vendor in the completed directory. Provide complete and tabulated information to the Owner, Tenant, Architect, and all other applicable parties. Assist Superintendent with project completion and punch list documentation and timely completion.
- Assist construction side PMs and supers with warranty items and coordinate manpower as available
- Follow up with clients regularly to ensure their (service/maintenance) needs are being met
EXPECTATIONS
- 3-10 years of experience in managing Construction and related trades
- Standard full time with expected overtime and travel as required
- Strong leader with verbal & written communication skills and high software capability
- Completion of jobs on time and profitable
- Ensure the project is completed safely and with high quality standards
- Promote Owner, Architect, and Consultant relationships to seed the next project
- Be a team player, go above and beyond the industry norm
- Communicate clearly and effectively with the team, know your audience
- Understand and complete OSHA 30 training
AUTHORITY LIMITS:
- Superintendent and Project Manager have their roles, find a resolution TOGETHER.
- Reports to Operations Manager/ COO/ CEO
- Manages project Sr. PE/PE/Inters
- Approves project time for Superintendent, Sr. PE, PE, Interns, and Field Employees
- Approves pay apps and invoices
- Signing authority for Commitment Documents
