Service Department Opportunity: Service Administrator

We are currently looking for a Service Administrator to join our Service team located at our office in Granite City, IL. The ideal candidate is a proactive and detail-oriented professional who excels at managing financial operations, supporting cross-functional teams, and ensuring smooth workflow within the Service (SVC) and Customer Solutions Group (CSG) departments.

Primary responsibilities for icon’s Service Administrator include:

• Managing daily accounting operations for the Service (SVC) and Customer Solutions Group (CSG) departments.
• Processing and reconciling service invoices, work orders, purchase orders, and subcontracts.
• Tracking and posting labor, materials, and job costs accurately in the accounting system.
• Monitoring accounts receivable and follow up on outstanding payments.
• Processing vendor invoices with correct coding and documentation.
• Supporting month-end close with accurate reporting and reconciliation.

Primary qualifications for icon’s Service Administrator include:

• 1 years of experience in any of the following areas: Service Coordinator, HVAC or Heating and Cooling Dispatch, Customer Service, and/or Accounting.
• Proven experience and understanding of HVAC and refrigeration systems, and terminology is a plus.
• Positive and professional attitude with excellent communication and analytical skills.
• Proven ability to provide exceptional customer service by promptly addressing client inquiries, resolving issues efficiently, and ensuring a positive experience throughout the service process.
• Detail-oriented and highly organized with the ability to handle multiple tasks and assignments.
• A top performer with a strong work ethic who can instill pride of workmanship in themselves and in others.
• Decisiveness, willingness to address problems, make requests, and decide the best plan of action for a particular job.
• Performing efficiently in Microsoft Office Suite (Outlook, Word, Excel, Teams and PowerPoint.

COMPENSATION AND BENEFITS:

• Salary Range: $60,000 - $85,000
